Job Description

 

We are hiring a critical team member to join our Legal department as a Legal Operations Administrator who will play a vital role in our company's growth. The ideal candidate will possess in-house experience at a legal department involving contract lifecycle  and document management and organization, leveraging advanced technology, optimizing workflows,   creating efficiencies and automation, and building streamlined and scalable processes.

Reporting to the General Counsel and Senior Corporate Counsel, you will manage and support the entire contract lifecycle, including contract creation, negotiation, approval, execution , and processing/filing.   You will leverage your technical systems knowledge and general operations experience to implement new technology solutions, scale the Legal department, and partner with leaders, managers, and colleagues across organizational boundaries and functions. You will drive strategic projects and collaborate with cross-functional stakeholders.  

Qualifications

  • Associate or Bachelor’s degree, preferably in a field of law or related field. 
  • 5+ years of experience supporting attorneys, with at least 2 years of in-house experience. 
  • Strong organization, problem solving, and analytical skills. 
  • Ability to shift priorities and meet time sensitive deadlines and handle multiple, competing projects.   
  • Excellent office management, presentation, written, and verbal communication skills. 
  • Contract management experience, including as system administrator of CLM platform.
  • Expertise with e-discovery software tools/platforms and tasks, including data collection, extraction, export, and production. 
  • Expertise with Microsoft Office Suite applications (including Word, Excel, PowerPoint, Outlook, and Teams) and video conferencing tools.
  • Proficiency with contract/data management, compliance, e-signature, and e-billing software/tools.
  • Excellence in project management processes and software/tools. 

Responsibilities

  • Identify, recommend, implement, and manage legal department tools, including contract and matter/document management, e-billing and e-discovery systems and platforms. 
  • Assist with litigation-related tasks, including e-discovery records/data collection, review, redaction, and production utilizing e-discovery software tools. 
  • Manage vendors and ensure alignment with company standards and policies.
  • Review legal invoices for compliance with billing guidelines and manage the invoice approval process for vendors and outside law firms. 
  • Support contract management cycle, using CLM tool to manage intake, assignment, status follow-up and negotiation, approval, execution, processing, and renewals.
  • Generate reports, charts, and other data analytics for cross-departmental functions.
  • Systematic storage, tracking, and destruction of business documents and records.
  • Streamline departmental processes and develop training materials. 
  • Develop and maintain relationships to facilitate a productive and efficient work environment and provide support to various internal groups across the company. 
  • Lead ad-hoc and periodic projects, reports, presentation materials, corporate trainings, and communications to further improve the performance of the legal team and the organization.
  • Drive innovation and adapt to evolving business needs.

Pay is based on market location and may vary based on factors including experience, skills, education and other job-related reasons. The base salary range for this position in Washington is $100,000 - $135,000.
