Akerman is seeking a highly motivated and customer-focused Office Services Coordinator for its Wilmington, Delaware office. This position is responsible for providing comprehensive office services support while ensuring exceptional service to attorneys, clients, and business professionals in a fast-paced legal environment.
The ideal candidate will be a self-starter who demonstrates initiative, professionalism, and a strong service mindset. The successful candidate will actively assess information, adjust priorities in response to changing business needs, and consistently provide exceptional support to internal and external clients. This is a full-time position in the office/40 hours per week. Work schedule in office Monday-Friday, 8:30 am to 5:30 pm with 1 hour for lunch.
Requirements:
- Process, copy, print, scan, and distribute documents accurately and in the required format.
- Create, organize, and assemble binders and presentation materials for depositions, arbitrations, trials, client meetings, and other firm initiatives.
- Process daily incoming and outgoing mail according to department-specific procedures and requirements.
- Operate and maintain the office postage meter, including monitoring and replenishing postage funds.
- Coordinate and track courier, FedEx, UPS, messenger, and other shipping requests.
- Maintain inventories of office, shipping, and departmental supplies and amenities; place orders as needed.
- Order client catering, set up and break down conference rooms and meeting spaces.
- Coordinate with building management and outside service vendors regarding office maintenance and facilities-related requests.
- Maintain and organize storage rooms, supply areas, kitchen areas, and common spaces on two floors.
- Assist the Office Administrator with office moves, furniture relocations, and workspace reconfigurations.
- Provide backup receptionist coverage
- Greet visitors, assist visiting attorneys and guests and help with front desk operations.
- Assist with special projects and perform other duties as assigned by the Office Administrator.
Qualifications:
- High school diploma or equivalent required.
- Minimum of five (5) years of office services, facilities, administrative support, or related experience, preferably in a law firm or professional services environment.
- Demonstrated proficiency with Microsoft Outlook and other Microsoft Office applications.
- Strong experience with document production, mail operations, courier services, and general office support functions.
- Ability to comfortably lift and move materials weighing up to 50 pounds.
- Exceptional attention to detail and commitment to delivering accurate, high-quality work product.
- Ability to follow written and verbal instructions with a high degree of accuracy.
- Strong organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.
- Excellent interpersonal, communication, and customer service skills.
- Ability to establish and maintain effective working relationships with attorneys, business professionals, vendors, and visitors.
- Reliable, flexible, and adaptable in responding to changing priorities and business needs.
This position requires a valid driver’s license and reliable transportation for regular local office runs: Courthouse, FedEx, Post Office, etc.
