Description

The Attorney Resource Center (ARC) Workflow Coordinator works across all Cozen O’Connor locations to effectively distribute work requests (tickets) to the ARC Legal Assistants and Administrative Assistants.  This is an experienced professional who understands the detail and urgency of attorney work and aligns the best administrative talent for the work.
 



Responsibilities
  • Manage and assign attorney work requests using the BigHand tool, prioritizing accuracy and timeliness.  Provide troubleshooting support and guidance to ensure smooth task execution.
  • Collaborates with the Document Production Center and other Workflow Coordinators to ensure smooth document handling.   
  • Partners with the Director, Centralized Services to enhance ARC workflows, best practices, and efficiency. 
  • Partners with the Centralized Services Trainers to onboard new attorneys, serve as a point of contact for attorneys, and orient new ARC team members to firm and departmental policies and procedures. 
  • Maintain ongoing collaboration with Centralized Services Trainers to identify and address training needs, ensuring consistent skill development and alignment with firm and department standards.
  • Monitor and balance team workload across locations, especially during absences or peak demand.
  • Serves as a contact person for the IS Department and the group when system problems arise. 
  • Tracks PTO, lateness and overtime for the aligned ARC resources. Reviews and approves timesheets; and contributes to the annual Employee Performance Appraisal for aligned ARC resources.
  • Keeps the Director, Centralized Services informed of any concerns related to employee performance, conduct, or attendance, providing timely updates that support effective oversight and decision-making.
  • Performs a variety of administrative tasks in support of the ARC efforts; takes on attorney work requests from queue to ensure that daily operations run efficiently. 
  • Responsibilities associated with the job may change from time to time in accordance with business needs; incumbent may be required to perform other duties as assigned. 


 



Qualifications
  • Outstanding organizational, project management and technical skills.
  • Adapts to change well and helps others adjust; seeks out best practices and efficiency.
  • Outstanding written and verbal communications; ability to professionally interact with clients, attorneys, and staff is required.
  • Five years of related experience is preferred; at least 2 years of Supervisory experience.
  • Ability to work overtime is required.
  • High school diploma or its equivalent required; Associates or College degree preferred.
  • Proficiency with Microsoft applications with advanced level in Microsoft Word and Outlook.
  • Strong document processing skills and typing skills
