Job Description

Calibrate is partnering with a prestigious law firm with a national presence to identify a Legal Admin Manager who will lead and strengthen the firm’s administrative support function. Reporting to Firm Administrative leadership, this role offers a unique opportunity to shape a best-in-class support model that drives efficiency, consistency, and excellence across offices. The Manager will oversee the Legal Administrative Assistant team and collaborate with firm leadership to optimize workflows, streamline resources, and enhance the overall attorney and client service experience in alignment with the firm’s values of innovation, collaboration, and excellence.

Key responsibilities:

  • Administrative Leadership & Team Development: Oversee and support the Legal Administrative Assistants, including staffing, onboarding, training, and performance management, while fostering a culture of engagement and recognition.
  • Workflow & Process Optimization: Design and implement efficient administrative workflows, policies, and training programs that meet evolving firm needs.
  • Cross-Department Collaboration: Partner with attorneys, operations, facilities, and trial support to align processes and ensure seamless administrative support across offices.
  • Budget & Resource Management: Manage resources and budgets with an eye toward efficiency, cost control, and service excellence.
  • Continuous Improvement & Engagement: Introduce best practices, support firmwide initiatives such as summer associate programming, and help strengthen the firm’s culture through ongoing enhancements.

Requirements:

  • BA/BS degree preferred
  • Minimum 5 years of supervisory experience required, ideally within a law firm or professional services environment
  • Proven track record of managing administrative teams and implementing new processes
  • Strong project management skills to take concepts from planning through execution
  • Exceptional communication and interpersonal skills, with the ability to build strong relationships across attorneys and staff
  • Excellent organizational and time management skills; able to manage multiple priorities effectively
  • Proficiency in MS Office (Word, Excel, PowerPoint) and document management systems
