Position Title: Billing Manager
Reports To: Chief Financial Officer
The Billing Manager will oversee and manage all aspects of the firm's billing operations and lead a team of client billing specialists to ensure seamless preparation, submission and follow-up of bills, while maintaining compliance with client-specific billing guidelines. The Manager will act as a liaison between attorneys, clients and internal departments.
Key Responsibilities:
Billing Management:
· Oversee the preparation, submission, and follow-up of e-bills through various e-billing platforms.
· Ensure compliance with client-specific billing guidelines and promptly address any discrepancies or rejections.
· Liaise with attorneys, clients and internal departments to resolve billing issues.
Billing Operations
· Manage the entire billing cycle, including invoice generation, review and distribution.
· Maintain accurate billing records and ensure timely invoicing to clients.
· Supervise the billing team to ensure efficiency and adherence to best practices.
Financial Reporting and Analysis:
· Prepare and analyze billing reports to track the firm’s revenue and billing efficiency.
· Identify trends, potential areas for improvement, and implement solutions to optimize the billing process.
Client Relationship Management:
· Serve as the primary point of contact for clients regarding billing inquiries.
· Build and maintain strong client relationships to ensure satisfaction with billing services.
Team Leadership:
· Provide guidance and training to the billing team on billing systems and procedures.
· Foster a collaborative and productive work environment, ensuring the team meets deadlines and performance goals.
Qualifications Summary:
· Proficiency with SharePoint billing software required.
· Strong understanding of legal billing practices, client guidelines, and compliance requirements.
· Excellent analytical, problem-solving, and organizational skills.
· Exceptional communication skills with the ability to interact effectively with attorneys, clients, and staff.
· Leadership experience with the ability to manage and motivate a team.
· Advanced proficiency in Microsoft Excel and financial reporting tools.
· Advanced knowledge and proficiency with electronic billing sites
Education and Experience
· Bachelor’s degree in: Accounting, Finance, Business Administration, or a related field.
· Minimum of 5 years of billing experience, preferably in a law firm environment.
