The Department of Justice, Legal Support Operations is currently seeking a well-rounded, friendly individual to fill our Office Technician (Typing) position.
Under the direct supervision of a Legal Support Supervisor I, the Office Technician (Typing) (OT(T)) independently performs a wide variety of clerical and administrative duties that support and provide assistance to the secretarial team(s). Those duties will include, but are not limited to, proficiently typing, editing, storing, retrieving, printing, processing, faxing and electronically sending correspondence using various department-supported software such as Word, Microsoft Outlook, Adobe Acrobat, ProLaw and other desktop technology tools and communication devices. The OT(T) will establish and maintain an efficient system for filing correspondence and pleadings; maintain a professional and organized work area; transcribe machine dictation; comply with state and departmental rules and regulations and office policies and practices; process mail; set up and close legal cases. The OT(T) will make travel arrangements and assist with overflow work as requested. The OT(T) may maintain the Executive reception desk, and the public reception desk that services the entire office using a high degree of independent tdecision making, sound judgment, diplomacy, tact and professional communication skills. The OT(T) will also answer incoming phone calls, provide information on State government agency services and programs, direct callers to appropriate staff, take detailed and accurate messages, or take other action appropriately. In addition, the OT(T) may be tasked to provide coverage as necessary to other units to ensure the smooth running of the legal office and provide clerical and administrative assistance to professional and/or attorney staff, legal secretaries, and legal support supervisors. The OT(T) will also operate office equipment such as a multi-function copier, scanner, binding, and finishing machine, create accurate indexes of complex case files, and set up and close case files.
