We are currently seeking a friendly and professional Receptionist to be the first point of contact for our clients and visitors, ensuring a positive experience from the moment they enter our office.
Position Overview:
As our Receptionist, you will handle various front desk responsibilities, manage communication, and provide essential support to our legal team.
Requirements

- Greet clients and visitors warmly, ensuring they feel welcomed and attended to.
- Answer, screen, and direct incoming calls promptly and professionally.
- Gather necessary information to determine who to direct calls to.
- Make notes in the appropriate case file when calls or messages relate to a client matter.
- Exercise good judgment and problem-solving skills when the appropriate contact is unavailable.
- Process and scan all incoming mail promptly and accurately.
- Ensure each piece of mail is properly uploaded and filed in the correct case file within the firm’s system.
- Maintain an organized system for tracking and distributing mail to ensure nothing is missed.
- Handle outgoing mail and deliveries efficiently.
- Record and track checks for deposit approval using established spreadsheets or tracking systems.
- Organize checks according to instructions — for deposit, hold, or mailing.
- Maintain accurate and confidential records of all check-related transactions.
- Manage the office calendar, scheduling appointments and meetings for attorneys and staff.
- Coordinate travel arrangements for attorneys, office staff, or clients as needed.
- Prepare, copy, and assemble materials such as trial binders and correspondence.
- Maintain and update client and office records accurately.
- Oversee office supply inventory and place orders as needed.
- Keep the reception and common areas clean, organized, and welcoming.
- Assist attorneys and staff with special projects or occasional tasks as needed.
- High school diploma or equivalent required; associate degree or higher preferred.
- Previous experience as a receptionist or in a similar administrative role is highly desirable.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multitask effectively.
- Proficiency in using office equipment and Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain a professional demeanor and handle sensitive information confidentially.
