
Synergy, a leading Boston commercial real estate firm, seeks a full-time Paralegal to support Synergy’s in-house Construction, Property Management & Corporate Departments. The Paralegal will serve as the corporate contract specialist for a real estate portfolio composed of 8 million square feet. The qualified candidate must be detail-oriented, a self-starter who is extremely responsible, dependable, highly motivated, able to work in a fast-paced and time sensitive environment, possess a “can do” work attitude and be a team player. Paralegal certificate is required. This position reports to the SVP of Construction Operations.
Essential Duties & Responsibilities
Manage and help design Synergy’s full Contract Process.
Take ownership of key procedures, implement changes and ensure day-to-day contract operations run smoothly.
Draft contracts for review by project managers, property managers, and corporate team to ensure all terms, conditions, scope and schedule are accurately reflected and within established contracting guidelines.
Track, obtain, and organize all required documentation (COIs, W9s, legal entities, signatories, etc.) to facilitate contract execution.
Understand and evaluate the risk associated with all contracted work. Develop and ensure risk mitigation procedures are consistently followed.
During contract negotiations, work with insurance agents, attorneys and teammates on requested deviations from standard contracts.
Maintain a centralized contract library for use with contractors, service providers and vendors.
Assist in creating new template forms for contract and agreements as necessary by working with internal teams and outside legal services.
Develop strong working relationships with key employees at vendors service providers and contractors to drive efficiencies and improve the Synergy brand.
Coordinate vendor set up in firm’s vendor management platform with our accounting team.
Manage DocuSign process, distribution and filing of fully executed contracts/agreements.
Design and maintain a database of contracts to track status and expirations.
Track and file amendments/change orders to executed contracts/agreements.
Prepare and/or review termination notices for contract/agreements for compliance with notice requirements.
Assist as requested with review and processing of lease contractual obligations such as tenant performed construction, tenant improvement allowance payments and setting up tenant vendors to comply with Landlord lease obligations.
Involvement with special projects, technology improvements, and assisting the SVP of Construction Operations whenever necessary to meet obligations as a team.

Paralegal certificate is required.
Bachelor's Degree or equivalent experience working in commercial real estate, law or construction.
2-5 years of experience in contract preparation and administration within commercial real estate or related field.
Ability to communicate effectively with superiors, peers and vendors, as well as clients and other related parties.
Excellent organizational skills, strong attention to detail and the ability to manage multiple priorities, while meeting deadlines.
Quick study with the willingness to learn new systems and the eagerness to grow with the company.
Capacity to multitask and maintain attention to detail in a fast-paced environment.
A strong positive attitude, demonstrating the professionalism and flexibility needed to attain Company goals, and a willingness to “roll up your sleeves”.
