Job Description

The mission of the International Institute of New England (IINE) is to create opportunities for refugees and immigrants to succeed through resettlement, education, career advancement and pathways to citizenship. One of the oldest and largest human services organizations for New Americans in the region, IINE serves more than 9,000 people each year in Boston and Lowell, Massachusetts, and Manchester, New Hampshire. Our programs include case management, youth and family services, English for Speakers of Other Languages (ESOL), employment and skills training, and immigration legal services.

Overview

The Giving and Engagement Coordinator is responsible for supporting the Advancement department with event logistics, fundraising activities, data entry, and special projects as assigned. The Giving and Engagement Coordinator reports to the Director of Corporate Giving & Engagement and works closely with the Senior Director of Giving and Engagement to ensure data accuracy and to support ongoing engagement opportunities through event logistic management. This role also provides administrative support to the Advancement staff as required.

Duties and Responsibilities

Event Logistics Support

  • Gather event information internally and participate in event brainstorming and planning
  • Conduct event research (venues, vendors and speakers, etc.)
  • Prepare and manage event registration processes and databases; support all outreach communication
  • Work closely with the Director of Corporate Giving & Engagement, the Gift Processor and Finance team to process event pledges and invoices. Manage sponsorships, secure logos and keep the database updated
  • Manage day-of event logistics including event materials, names tags, and registration lists and registration table
  • Support events on the macro level (organization's annual calendar) and micro level (event detail planning)
  • Conduct follow-up and outreach to donors and other event attendees as needed
  • Research potential honorees for IINE's signature events
  • Support the planning and execution of Leadership Council quarterly meetings, World Refugee Day Events, site-specific Open Houses, volunteer events, etc.

Administrative and Development Support

  • Work with the Advancement staff to update and create SOPs documenting Advancement department procedures as needed
  • Support the Grants team with event sponsorship applications as needed
  • Data entry using the organization's CRM, Salesforce, as needed
  • Support the Advancement team with fundraising activities as needed
  • Perform other duties as assigned by the supervisor

Qualifications & Requirements

  • Bachelor's degree is required
  • Proficient in Word, Excel, Outlook, and PowerPoint is required
  • The ability to travel independently between IINE's threes sites (Boston, Lowell, Manchester, NH) is required
  • Relationship management, events, corporate engagement, fundraising, or equivalent experience preferred
  • Strong customer service orientation
  • Excellent organizational and project management skills with keen attention to detail, deadlines, timelines, and budgets?
  • Excellent written and oral communication skills
  • Ability to be proactive, pivot to new projects when necessary
  • Experience with Salesforce is strongly preferred
  • Understanding of and affinity for IINE's mission and culture?
  • Capacity to work in a multicultural environment with an appreciation for diverse staff and clientele

Work Environment Conditions

  • Typically works in an office setting or event setting
  • Requires occasional independent travel and flexibility to meet with vendors, event guests, and speakers according to their schedules and availability; Periodic travel to IINE Lowell and Manchester sites
  • May require occasionally working irregular hours (evenings, weekends, and overtime) to meet deadlines for specific events.

Covid-19 Policy

IINE does not require applicants for most positions to show proof of Covid-19. Some federal contracts, however, require IINE staff to show proof of Covid-19 vaccination, and some immigration status adjustments, such as a Green Card, require proof of Covid-19 vaccination as well. Consequently, for some positions, IINE staff may be required to show proof of vaccination, and in others, IINE staff will be supporting clients who are required by law to have proof of vaccination in order to adjust their status in the United States.
