Job Description

C.H. Robinson is currently seeking an Executive Assistant to provide exceptional administrative support to our Chief Legal Officer (CLO) and Secretary.  As the Executive Assistant, you will play a pivotal role in ensuring the smooth operation of the CLO's office and supporting high-level executive functions. Attention to detail will be critical to your success in this role as your responsibilities will include managing the CLO's calendar, emails, appointments, and travel arrangements while handling all communications with professionalism and confidentiality. Representing the CLO's interests, you will ensure alignment with shareholders and board members, build and maintain strong relationships with stakeholders, and collaborate with cross-functional teams to meet project milestones.

You will play a pivotal role in support of our Board of Director (BOD) meetings, utilizing Diligent to upload all BOD materials, ensuring timely and accurate submissions, and accommodating last-minute changes. Your availability during board meetings will be important to handle urgent updates in a timely manner.

Responsibilities:

CLO Administrative Support:

  • Manage the CLO’s calendar, emails, appointments, and travel
  • Prioritize and coordinate tasks, ensuring optimal use of the CLO’s time and prompt responses
  • Prepare executive meeting materials, including agendas, presentations, and reports
  • Track action items and follow up on behalf of the CLO, ensuring timely completion
  • Make travel arrangements, including logistics and detailed itineraries
  • Handle incoming and outgoing communications with professionalism and confidentiality
  • Draft and review sensitive correspondence, memos, and presentations with attention to detail
  • Represent the CLO’s interests and ensure alignment with high-level shareholders and board members
  • Build and maintain strong relationships with stakeholders, fostering effective communication and collaboration
  • Collaborate with cross-functional teams to ensure project milestones are met

Board Meeting Support:

  • Utilize Diligent as the main platform for uploading all Board of Directors (BOD) materials ensuring timely and accurate submissions, accommodating last-minute changes
  • Available during board meeting timeframes to handle urgent updates
  • Ensure accuracy in document uploads, avoiding critical mistakes
  • Assist Deputy General Counsel with tracking minutes from various meetings
  • Help prepare agendas for meetings, collaborating with Deputy General Counsel and meeting chairs
  • Compile multiple board meeting books
  • Work efficiently to ensure all materials are correct and ready ahead of board meetings
  • Handle frequent document changes and know the sources for each document
Required Qualifications:
  • Minimum 8 years of progressive executive administration experience, supporting senior executives
  • Minimum 2 years of experience supporting a Legal Officer in a publicly traded company preferred
  • Ability to work in a flexible work arrangement environment (both onsite and remote)
  • Ability to travel up to 10% (domestic or international)
  • Bachelor's degree from an accredited college or university or high school diploma/GED
Preferred Qualifications:
  • Advanced proficiency in office tools (e.g., Microsoft Office Suite of programs, Diligent or Board Vantage)
  • Demonstrated ability to handle sensitive and confidential information with integrity
  • Excellent verbal and written communication skills, with a keen eye for detail and accuracy
  • Strong organizational and time management abilities, with the capacity to multitask and prioritize effectively in a fast-paced environment
  • Exceptional interpersonal skills, with the ability to build relationships and interact professionally with individuals at all levels
  • Resourceful problem-solving skills and the ability to anticipate needs and proactively provide solutions
  • Ability to work independently and receive minimal guidance
  • Strong ability to research and prioritize different tasks and be able to multi-task
  • Flexibility and adaptability to handle changing priorities and work independently with minimal supervision

Compensation Range

$76,100.00 - $118,700.00
