Legal Intake Specialist (Bilingual: Spanish)
Job description:
General Job Description: Responsible for monitoring digital and physical communications and distributing information to corresponding team members with the highest levels of efficiency and attention to detail. Serves as liaison for intake and communication-related matters between the law firm, client vendors, attorneys, arbitrators, and courts. Providing updates to client-tracking systems to reflect activity on ongoing litigation matters.
Role in Law Firm Mission: The primary person responsible for ensuring the management and distribution of digital and physical communications among the litigation team and ensuring the timely process of litigation referrals.

Classification:* Non-exempt
Key Specific Duties:
Receive and digitize physical communications pertaining to ongoing litigation matters.
Distribute physical and digital communications to corresponding team members.
Review communications received in shared email accounts.
Review litigation intake documents to ensure legibility of pertinent information.
Contacting client vendors / clients to obtain complete and legible litigation documents.
Importing litigation documents into the database.
Building litigation services in CRM and ensuring accuracy of data.
Activating tasks related to documentation received.
Ensuring tasks in litigation procedures are assigned to the correct team member.
Review and confirm the applicability of filing fees based on jurisdiction.
Perform audit of existing litigation cases to evaluate for closure.
Ensure client program information is accurate.
Provide excellent customer support to clients.
Other administrative duties as outlined by department supervisor
How Success is Measured:
Ability to properly ensure all litigation intakes are entered into CRM.
Ability to efficiently manage a high volume of litigation referrals.
Ability to manage shared inboxes to ensure all communications are addressed.
Ability to review physical and digital communications and determine to which team member they should be shared / forwarded to.
Ability to be extremely organized.
Ability to have great time management.
Ability to be flexible when emergencies arise.
Ability to resolve conflicts with other staff.
Ability to spot inefficiencies and to formulate and implement positive innovations to procedures.
Ability to work well with others and bring and maintain a positive attitude
Minimum Technical Requirements:
Undergraduate degree preferred.
Mastery of the English language, both written and spoken.
Office administrative experience.
Proficiency in data entry.
Desired Skills:

Extremely well organized.
Excellent time management.
Excellent ability to multi-task and to follow-up.
Able to take criticism well.
Interest/experience in the legal field.
Debt settlement industry experience is a plus.
Experience with Microsoft Suite / Spreadsheets
