Site Leader, Legal

Position Profile

Supervises the day-to-day operations of a specified 1-to-5-person site within a legal office environment. Reports directly to an Account Manager and works to provide employee developmental support. Also assists in employee relations matters as they pertain to supervising and directing. Develops, implements, and reviews procedures for compliance and improvement. Prepares, creates, validates, and invoices client(s) according to their billing needs. Must possess excellent interpersonal and customer service skills to communicate with senior-level attorneys, partners, clients, opposing counsel, court reporters, vendors, staff, and others.

The Site Supervisor serves as the point person for customer issues, providing direction for issue resolution. Works directly or indirectly assisting the site operations with office functions including:

  • Copy, production, and scanning
  • Fax, mail, and shipping
  • Hospitality assistance, conference room setup and scheduling
  • Receptionist backup
  • Facilities support, and inventory control.
  • Works to maintain and control an acceptable profit level within the site while identifying additional service offerings to enhance customer workflow.
Job Duties and Responsibilities Legal Environment Responsibilities
  • Possesses the legal background to understand client matter workflow, including:
  • Chargebacks to firm and/or clients for work, supplies, hours, etc.
  • Familiarity with legal technologies and software (e.g., document management systems, cost recovery, and chargeback systems like Copitrak or Equitrac).
  • Knowledge of legal records management processes.
  • Understanding of legal documents and processes such as closing binders, depositions, transcripts, briefs, addendums, filings, discovery, judgments, and proper document delivery within the court system.
  • Assists with scheduling equipment, labor, and supplies for offsite trials.\
Other Duties and Responsibilities
  • Implements and manages the RICOH Service Excellence methodology effectively.
  • Functions as a working supervisor, assisting with daily tasks and operations per the customer contract.
  • Handles formal daily contact with the customer.
  • Manages highly confidential and time-sensitive documents.
  • Produces quality work due to the sensitive nature of legal documents and projects.
  • Understands law firm structure and hierarchy to interact professionally and support firm associates (legal secretaries, project managers, paralegals, associates, and partners).
  • Ensures job accuracy for projects requiring quick turnaround and tight deadlines.
  • Provides training on workflow and machine operations when necessary.
  • Ensures payroll accuracy by managing and correcting time clock punches.
  • Achieves shift profitability by effectively supervising labor, materials, and supplies.
  • Operates shifts, maintaining work quality to comply with audits and deadlines.
  • Meets quality and deadline standards through job scheduling practices.
  • Maintains efficient workflow by holding direct reports accountable for quality and efficiency.
  • Resolves issues regarding pricing, orders, and invoicing.
  • Ensures direct reports execute objectives using tools such as developmental plans, ninety-day plans, and regular performance reviews.
  • Posts productivity, quality, and deadline results.
  • Maintains positive internal working relationships through professional communication.
  • Completes site reports and other paperwork accurately and on time.
  • Prepares month-end management reports.
  • Assists the account manager in reviewing monthly financial reports.
  • Performs other duties as assigned.
 
Qualifications (Education, Experience, and Certifications)
  • Required: High school diploma or GED and 2+ years of experience in a related field.
  • Preferred: Minimum of 2 years’ experience in the legal industry.
  • Experience with different types of law and departments (e.g., criminal, civil, corporate, real estate, bankruptcy, intellectual property).
  • Computer proficiency with programs such as Word, Excel, PowerPoint, Adobe (PDF), and legal software.
  • Experience delivering classroom and/or informal training sessions.
  • Experience operating advanced machinery and performing complex jobs.
Knowledge, Skills, and Abilities
  • Strong organizational skills.
  • Ability to set goals effectively and lead and train employees.
  • Good technical skills and ability to use complex machinery.
  • Commitment to staying updated on current technology and marketplace trends through relevant journals, magazines, and newspapers.
 
Working Conditions, Mental and Physical Demands
  • Work Environment: Typically, an office setting with adequate lighting, ventilation, and a normal range of temperature and noise.
  • Diversity of Assignments: Requires interpretation and application of complex material, data, and instructions. Prepare, provide, and convey diversified information.
  • Physical Effort: Mostly sedentary with occasional walking, standing, bending, reaching, lifting, or carrying objects up to 50 lbs. (e.g., papers, books, files, small parts).
  • Moderate Dexterity: Regular use of basic skills such as calculator, keyboard, hand tools, and eye-hand coordination.
