This role will be based in our Atlanta office, on a in-office basis. Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building. This role reports to the Assistant Director of Products Liability.
Position Summary
This position supports up to three or more attorneys in a secretarial capacity with our Products Liability department. The Legal Support Specialist provides a wide range of administrative, secretarial and document processing services in the assigned department(s). Flexibility to work overtime as needed. The Legal Support Specialist will engineer the attorneys’ calendars, and document management, as well as word processing and transcribing. The successful candidate will effectively enter time, prepare expense reports, and have a hands-on approach to arranging travel, managing appointments and facilitating all aspects of the professional and personal responsibilities of the assigned shareholders. This role also requires extensive coordination with clients.
Key Responsibilities
Maintains legal files (both paper & electronic), organizes and files documents in designated order, as well as prepares, keyboards, enters, proofreads and processes legal and administrative correspondence
Processes time entry, open new matters, drafts engagement letters and audits responses, makes travel arrangements, processes reimbursement expenses, maintains calendar, collates information, writes reports, prepare agendas, review and prepare billing invoices, and other administrative duties, on an as-needed basis
Manages phone lines for supported attorneys, fielding calls and conveying messages as necessary. Communicates with clients, opposing counsel, courts, and liaisons
Updates case information, scans documents, keyboard legal documents, and conduct research
Manages document deliveries and tracks final executed documentation. Assists in preparing closing transcripts and legal documents to database for ongoing transactions
Assists with overflow work and other projects as needed
Qualifications
Skills & Competencies
Substantive knowledge of State and Federal court filing, including e-filings
Must be skilled in handling administrative tasks such as lawyer time entry, travel arrangements and processing invoices and expenses
Strong attention to detail, organizational skills and ability to manage time effectively
Excellent interpersonal skills, communication skills and the ability to collaborate well in a team
Education & Prior Experience
Requires at least 3 years of experience as a legal secretary within a law firm or other professional organization
Bachelor’s Degree or equivalent education and work experience preferred
Technology
Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook, as well as document management and other office technologies
