General Function

A cost-of-living increase of 3.8% has been approved for 2027.


Under the direction of the City Attorney, the Legal Assistant II provides administrative support and coordinates office operations for the Civil Division of the City Attorney’s Office. The position prepares confidential documents and records, supports administrative and financial functions, conducts research, prepares reports, assists the public and City departments, and directs the work of lower-level staff as needed.

Representative Essential Duties and Responsibilities

•  Drafts documents and correspondence from brief instructions or notes; verifies and incorporates edits; and formats materials that include proprietary and confidential information.

•   Coordinates the operations of the City Attorney's Office; develops office forms and procedures; recommends case-management and filing procedures; and prepares and maintains files.

•   Assists with administrative matters involving personnel, budgeting, and facilities; coordinates payroll tasks; monitors sick and vacation leave accounts; prepares departmental expense claims; and arranges travel accommodations and prepares travel claims for attorneys.

•   Provides support to the Risk Management Specialist, City Clerk, and Human Resources and may provide backup administrative support to the Prosecution Division as needed.

•   Organizes and directs the work of employees in lower-level classifications (ex. Legal Assistant I).

•   Conducts research, compiles data from a variety of sources, and prepares statistical, narrative, and summary reports as directed. Reports may require statistical calculations and tabulations using established formulas.

•   Provides assistance and information to the public and other City departments; logs and monitors work requests from the Mayor, City Council, and other departments; and answers phones and performs receptionist duties as needed.

•   Maintains the confidentiality of work-related matters, client records, and City information.

KNOWLEDGE, SKILLS and ABILITIES (Entry Requirements)


Knowledge of

•  Legal forms and procedures.

•  Standard office practices and the principles of office management and work organization.

•  Municipal Court, Superior Court, and Court of Appeals procedures and functions.

•  Principles of clear and professional written communication, including composition, spelling, grammar, and punctuation.

•  Methods for preparing presentation materials, infographics, and graphical displays.

Skill in

•  Organizing, prioritizing, and multitasking while maintaining a high degree of attention to detail.

•  Using a personal computer, including Microsoft Word, Excel, Access, Outlook, and database-management applications.

•  Handling complex and confidential matters.

Ability to

•  Work independently and make responsible decisions in accordance with court policies and procedures.

•  Communicate ideas clearly and concisely, both orally and in writing.

•  Establish and maintain effective working relationships with coworkers, other City departments, and the public.

•  Analyze complex office problems and develop solutions.

Qualifying Education and Experience (Minimum Requirements)

  • At least 18 years of age 
  • Education: Completion of two years of college-level coursework in records or information management, library science, legal secretarial studies, or a related field.
  • Experience: Four years of progressively responsible clerical or administrative experience in a legal office, public-records function, city clerk's office, or another relevant area.
  • Equivalency: An equivalent combination of related education and experience totaling six (6) years may be considered. Equivalencies do not apply where a license or certification is required by law.

PHYSICAL REQUIREMENTS

Work is primarily sedentary and involves sitting most of the time, with walking and standing required occasionally. Duties frequently require reaching; repetitive wrist, hand, and finger movements; typing, picking, pinching, and handling objects; tactile perception; speaking; and hearing sufficient to exchange detailed information at normal speaking levels, with or without correction. The employee may occasionally exert up to 10 pounds of force and may frequently or continuously exert a negligible amount of force to lift, carry, push, pull, or otherwise move objects.

WORKING CONDITIONS

Work is performed in a typical office or administrative environment and does not involve substantial exposure to adverse environmental conditions.


LEGAL AND REGULATORY EMPLOYMENT CONDITIONS
  • This position is classified as non-exempt under the Fair Labor Standards Act (FLSA) and is eligible for overtime 
  • This position is not union represented and is covered under the “Management, Professional Staff Compensation Program
  • This position is excluded from the City’s Civil Service system.
