Job Duties and Responsibilities:  

Contract & Document Management 

  • Establish and maintain governance protocols for PandaDoc and Salesforce usage, including organizational change management and stakeholder training 
  • Lead centralized document storage consolidation project, gathering contracts and legal files from department leaders 
  • Organize and maintain contract folders and filing systems to ensure efficient document retrieval and compliance 

Legal Administration 

  • Serve as system administrator for PandaDoc and other legal management tools 
  • Develop and implement systematic workflows for legal request intake and routing 
  • Own and manage the legal mailbox, triaging requests to appropriate reviewers 

Intellectual Property Management 

  • Act as primary point of contact for trademark and patent attorneys 
  • Maintain comprehensive IP tracking systems for trademark and patent renewals, lapses, and deadlines 
  • File and organize all IP-related documentation including patent applications and assignments 

Litigation & Legal Matters Coordination 

  • Serve as point of contact for external parties in legal matters 
  • Maintain legal matter tracking files and case management documentation 
  • Prepare matter summaries and recaps for leadership as needed 

Compliance Support 

  • Assist with maintenance of country-specific terms of service across websites and platforms 
  • Support implementation of standardized contract terms across customer base 
  • Coordinate with external privacy specialists on data protection compliance initiatives (GDPR, CCPA, EU Data Act) 
  • Help implement Data Processing Agreements (DPAs) and vendor privacy assessments 

General Counsel Support 

  • Act as liaison to external counsel and filter communications as appropriate 
  • Provide quarterly legal function updates at Gemba meetings 
  • Support ad-hoc legal projects and research as needed 

 
 

What you’ll need to succeed:  

This position requires someone who can effectively work independently, collaborate with business partners and drive cross-functional project executionmaintain meticulous records, and exercise sound judgment in prioritizing and escalating matters appropriately. 
 

Minimum Requirements - 

  • 5 years of experience as a legal assistant, paralegal, or in a similar legal operations role 
  • Prior experience in a corporate legal department or law firm environment  
  • Paralegal certificate or legal studies coursework
  • Contract Management: Demonstrated experience with contract lifecycle management and document organization systems  
  • Technology Proficiency: Strong working knowledge of legal management software (e.g., PandaDoc), Salesforce, and Microsoft Office Suite 
  • Communication: Excellent written and verbal communication skills with ability to interface professionally with external counsel, opposing parties, and internal stakeholders  
  • Organizational Skills: Exceptional attention to detail with ability to manage multiple priorities, deadlines, and filing systems  
  • Problem-Solving: Self-starter with ability to develop and implement processes and workflows independently  
  • Discretion: High degree of professionalism and ability to handle confidential information  
  • Collaboration: Proven ability to work cross-functionally and train others on new systems and processes 

 

Preferred Qualifications - 

  • Experience with intellectual property management and USPTO filing procedures  
  • Knowledge of data privacy regulations (GDPR, CCPA, EU Data Act)  
  • Familiarity with litigation case management and court filing procedures  
  • Experience implementing legal technology solutions or system migrations  
  • Background in compliance program development  
  • Project management experience, particularly related to legal operations improvement initiatives  
  • Experience working with external legal counsel and managing outside counsel relationships  

 

Physical Requirements - 

  • Ability to perform typical office tasks, including sitting or standing for extended periods, using a computer, communicating effectively, and occasionally lifting light items
