IP Legal Assistant

DeWitt seeks a full-time Legal Assistant for its Intellectual Property practice group in the Madison, Wisconsin office. A DeWitt employee must be a team player, detail-oriented, have a proven work ethic, and have excellent communication skills. Savvy technical skills, professionalism, and the capability to manage the workflow of multiple attorneys will make you a well-rounded candidate.

 

Responsibilities:

  • Prepare, proofread, revise, profile, and save correspondence and drafts of documents.
  • Client billing activities include time entry, proofreading, modifying, and sending client invoices.
  • Overall administrative support to the practice group which includes six attorneys, one paralegal, and two legal assistants.
  • Assist with opening new files using Aderant and Foundation IP.
  • Prepare/send/save Engagement Letters to new clients.
  • Scan in Mail and distribute to appropriate attorneys
  • Save e-mails for attorneys into NetDocs.
  • Assist with preparation of formal documents including Application Data Sheets, IDSs, Declarations, Powers of Attorney, Assignments, Issue Fee Transmittals and general transmittal letters.
  • Send docket-filed reporting e-mails; assist with other reminders as needed
  • Provide docket report and FIP updates to attorneys.
  • Assist with wire/check requests as needed; Assist with Expense reports as needed; Save/address invoice e-mails as needed and direct to Accounting for processing.
  • Assist with USPTO Filings.
Qualifications
Qualifications and Education Requirements
  • Education: Associate degree, High School Diploma, GED Equivalent, or industry-specific certifications.
Required Skills
  • Organization and Multitasking: Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Attention to Detail: Ensuring precision in proofreading documents, filing, and meeting deadlines.
  • Communication Skills: Strong written and verbal communication skills for interacting with attorneys, clients, and external parties.
  • Legal Knowledge: Familiarity with legal terminology, court systems, and document requirements.
  • Technical Proficiency: Proficiency in using Microsoft Office Suite, legal tools (e.g., case management systems, e-filing platforms, document management systems), and office equipment.
  • Professionalism: Maintain discretion and confidentiality when dealing with sensitive client and case information.
  • Problem-Solving: Ability to anticipate attorneys’ needs and proactively address issues.

Hybrid Work Model:
Employees are expected to work onsite three days per week and may work remotely up to two days per week, subject to meeting specific eligibility and performance criteria. New employees should be prepared to work on-site five days a week during a four- to six-week onboarding period.
