Job Description

Title: Administrative Assistant/Case Manager

Salary Range: Commensurate with experience and qualifications

FLSA Status: Non-exempt

Schedule: Full-time

Location: Oklahoma City, OK

Position Summary:

The Office of Civil Rights Enforcement (OCRE) is seeking a highly organized, detail-oriented Administrative Assistant/Case Manager to support its work enforcing Oklahoma’s civil rights laws. This role manages complaint intake, tracks case deadlines, prepares documents, and provides essential administrative support to investigators and attorneys.

Essential Functions:

·         Process new complaints and set up case files

·         Track case deadlines, reminders, and weekly status updates

·         Prepare and format standard case documents and correspondence

·         Transcribe audio/video recordings into accurate written summaries

·         Organize and maintain evidence, exhibits, and case files

·         Scan, upload, and manage digital and physical documents

·         Assist with scheduling, communication, and general administrative tasks

·         Provide professional phone and email support to the public and staff

·         Perform other administrative and case-management duties as assigned

 

Required Qualifications:

·         Associate degree in a relevant field or an equivalent combination of education and directly related administrative or legal support experience

·         Strong writing, proofreading, and document-formatting skills

·         Proficiency with Microsoft Word, Outlook, and Excel

·         Ability to learn Adobe Acrobat Pro and other software quickly

·         Strong organizational skills and the ability to manage multiple deadlines

·         Professional communication and discretion with sensitive information

 

Preferred Qualifications:

·         Bachelor’s degree in a relevant field or an equivalent combination of education and directly related experience

·         Experience in a legal, investigative, regulatory, or government environment

·         Typing proficiency and experience with transcription

·         Experience organizing evidence or managing structured case files
