
Dykema Gossett PLLC, a leading national law firm, is recruiting for an experienced Administrative Assistant - Litigation (AA), in Los Angeles. The AA will assist attorneys and paralegals in providing quality legal services to clients, including preparation of correspondence, legal documents, electronic and non-electronic court filings. AA will maintain calendar, schedule meetings and depositions, maintain files and anticipate client needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Exercises independent judgment in determining priority levels of all work assigned on a daily basis. Assures that high priority items are completed in a timely manner.
- Files electronic and non-electronic filings with various courts.
- If requested, schedules appointments and meetings, reminds attorneys of appointments, specific court dates and various other dates (even though such dates may not necessarily require the attorney’s presence). Initiates or gathers pertinent materials needed for assignments from files, Records Department, Legal Information Services, etc.
- Types, revises, modifies all correspondence, memoranda, notes, outlines, legal documents, charts, forms, etc., whether from drafts, originals or dictation. Runs conflicts, prepares screening forms, sets up engagement letters, orders legal files.
- Opens and reads incoming mail not marked personal and confidential if requested to do so, and responds or forwards to attorney if appropriate.
- Maintains and organizes files on request and in conjunction with Document Clerk.
- Enters and/or releases attorneys' time, if required. Maintains list of all current billing numbers for assigned timekeepers.
- Answers and screens telephone calls, Assists callers independently on a regular basis. Exhibits the discretion to know when to contact the attorney concerning urgent or emergency calls and when to refer to another party.
- Performs other responsibilities/tasks as requested.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- One to two years of post high school education equivalent.
- Five plus years of related work experience and strong litigation skills and knowledge of the courts.
- Knowledge of state, federal and appeal court procedures.
- Typing speed of 55 WPM or greater.
- Excellent communication skills, both verbal and written, and organizational skills.
- Knowledge of Microsoft Office products required. Advanced skills in Word required.
- Ability to be self-motivated and work independently.
- High degree of confidentiality regarding clients, guests, documents, conversations, etc.
