Job Description

The Coordinator II - Legal, Estate will oversee and optimize the administration of testamentary gifts to St. Jude, ensuring compliance with all guidelines and timely execution of documents. This role involves extensive interaction with estate executors, attorneys, court officials, and other professionals to facilitate the distribution of estate gifts to the hospital. The ideal candidate will have a deep understanding of probate and trust administration, exceptional attention to detail, and strong communication skills.

Key Responsibilities:

Estate Gift Management:

  • Manage and maximize gifts left to St. Jude in wills, trusts, and other testamentary documents.
  • Review testamentary documents and ensure compliance with ALSAC policies and audit requirements.
  • Obtain and review necessary documentation for verification of gifts.

Training and Mentorship:

  • Provide initial and ongoing training for new hires and Estate Coordinator staff.
  • Assist the Senior Director in setting production goals and redistributing workload as needed.
  • Maintain and update the Trusts and Estates procedures manual.

Litigation and Special Handling:

  • Monitor litigation and special handling estate files.
  • Produce litigation reports for distribution to the General Counsel and Legal Committee.
  • Liaise between ITS and the Legal Department, providing IT training for legal applications.

Documentation and Reporting:

  • Prepare weekly, monthly, and annual estate and bequest reports for various departments.
  • Analyze interim and final account statements for estates and trusts.
  • Resolve errors and discrepancies in accounting related to estate distributions.

Communication and Coordination:

  • Serve as the point of contact for trust officers, executors, estate attorneys, and family members of donors.
  • Engage in prospective donor cultivation through communication of the hospital’s mission and stewardship of donor funds.
  • Coordinate with internal departments to handle special gift situations.

Research and Asset Management:

  • Research estate assets and determine the need for special handling, including environmental audits for real estate.
  • Communicate ALSAC's policies and needs to executors and attorneys to facilitate asset liquidation and distribution.

Qualifications:

  • Extensive knowledge of probate and trust administration procedures.
  • Acute attention to detail and excellent proofreading skills.
  • Clear and concise written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (365).
  • Graduation from an approved paralegal program.
  • Minimum of five years of experience in estate, trust, and probate matters in a legal, financial, or related setting.

This position will be located at our National Executive Office in Memphis, TN and be eligible for a hybrid work schedule.
