Job Description

Position Title – Legal Secretary
FLSA Status – Non-Exempt
Position Summary: This position will include general secretarial and administrative support, client interaction, calendaring, scheduling, document production, managing files, working with numbers and billing.  Independent judgment is required to plan, prioritize and organize diverse workloads.
Individuals in this position will have direct contact with clients, therefore must have the ability to maintain positive client relationships and customer service.  Good communication, both verbal and written, is essential in this position.
Essential Duties and Responsibilities:
  1. Perform routine elements of practice skills, professional skills and knowledge of firm operations with little or no supervision.
  2. Provide legal support to attorney and other legal staff as needed.
  3. Provide services to internal and external clients in a timely and efficient manner.
  4. Manage files and work with numbers in dealing with Estate Planning and Trusts.
  5. Prepare correspondence.
  6. Calendar appointments and client meetings.
  7. Process new client/matter intakes including preparing and processing new matter forms, request conflict checks, and opening new files.
  8. Process mail – prepare, review and route incoming/outgoing mail.  Ensure all attachments, exhibits, and enclosures are included.
  9. Create and maintain paper and electronic files and indexes.
  10. Answer incoming calls and take detailed messages to relay promptly to attorneys and legal staff.
Knowledge, Skills and Abilities Required:
  1. High School diploma or GED required.
  2. Legal secretary and/or legal administrative assistant with 1-3 years previous experience.
  3. Ability to work efficiently in Windows-based computer applications.
  4. Previous experience with calendaring and scheduling appointments in Outlook.
  5. Good interpersonal skills with attorneys and staff at all levels of the firm.
  6. Self-starter, highly organized and motivated.
  7. Ability to work 9 hour daily schedule M-Th with ½ day on Fridays, overtime as needed, and maintain an acceptable level of attendance and punctuality.
  8. Ability to communicate critical information by conveying the information clearly, accurately, honestly and concisely in accordance with company and practice area policies and procedures.
