We are a fast-paced, greater-Boston boutique estate planning law firm seeking an Estate Administration Paralegal with at least 3–5 years of experience with probate and trust settlement. The ideal candidate writes well and is thoughtful, diligent, highly organized, and motivated. Candidates should have strong attention to detail, the ability to handle a large caseload, and the skill to multitask and work independently. This role involves assisting the attorney with managing probate court filings, obtaining asset valuations, assisting with estate and gift tax returns, managing ongoing trust settlement, drafting real estate transfers, maintaining client and third-party communications, and ensuring a high level of quality control throughout the administration process
Key Responsibilities
Client, Court, and Administrative Support
- Maintain significant, professional contact with clients, courts, financial institutions, and third parties to ensure a positive, compassionate experience.
- Draft engagement letters for new and existing clients.
- Assist attorneys with case management, workflow coordination, court deadlines, and maintaining a high-volume caseload.
Probate, Trust Settlement, and Document Preparation
- Assist attorneys with preparing and submitting probate forms, petitions, assents, and related probate administration filings.
- Assist with managing ongoing trust administration cases, trust distributions, and post-death estate settlements.
- Obtain date-of-death valuations and gather necessary financial documentation as part of the probate and estate tax return process.
- Prepare initial drafts of deeds and real estate transfer documents used to convey estate or trust property.
Tax and Financial Support
- Assist attorneys with preparing and filing Massachusetts estate tax returns as well as Federal estate and gift tax returns.
- Assist with estate and trust accounting, inventory preparation, and income tax return support as needed.
Qualifications:
- 3–5 years of experience in estate administration, probate court procedures, and trust settlement (real estate experience is a plus).
- Proven background preparing and filing Massachusetts estate tax returns as well as Federal estate and gift tax returns.
- Exceptional written and verbal communication skills, with proficiency in Microsoft Office and legal document management systems. Experience with ProFX and Lacerte a plus.
- Demonstrated ability to manage a high-volume caseload, prioritize tasks independently, and meet deadlines in a fast-paced environment.
- Direct experience drafting probate/trust documents, handling fiduciary accounting, or preparing estate, gift, and income tax returns is strongly preferred.
License/Certification:
- Enrolled Agent (Desired)
- Bachelor’s Degree or Paralegal Certificate (Required)
