Job Description

THE POSITION

Douglas County Juvenile Department 

Full time position available with competitive full-family benefit package.
PERS/OPSRP retirement and availability of deferred compensation retirement savings. 
 

Onsite (Courthouse complex) childcare available at a discounted employee rate through Roseburg Professional Childcare (Fowler St. location only).  Availability is subject to center waitlist.  Job Summary: 
This position provides entry to intermediate level legal clerical support to the Juvenile Department, performing legal office support work, including routine legal forms, reports, research, proofreading, and/or other specialized Juvenile legal secretarial duties. The Juvenile Legal Assistant 1 is distinguished by routine legal clerical activities requiring basic knowledge of legal procedures and documents.

Essential Functions: 
This is not an exhaustive or all-inclusive list of responsibilities, skills, duties or functions associated with the job.   

  • Initiates necessary paperwork to open new files and conducts the necessary office support activities. Prepares a variety of legal forms and documents; monitoring court dates and deadlines, projects, & programs as assigned, establishes priority for those actions requiring immediate action, and coordinates required actions with supervisor, or other assigned professional. 
  • Type a variety of correspondence from verbal, transcribed and/or written instructions; draft basic routine legal documents in accordance with court rules and procedures for review by attorney or other professional, verifying and correcting grammar, format, and composition as required.
  • Enter information into various computer databases for internal and external records and reports. Perform court-ordered expunction of records.
  • Review accuracy and completeness of routine forms, records, entries, and other incoming legal documents by comparing & compiling information from various sources (i.e., other state courts, motor vehicle departments, law enforcement agencies), organize documents, and research discrepancies when needed. 
  • Review calendaring; process and file completed documents; organize and prioritize work flow; provide back-up to office administrative staff. 
  • Respond to incoming telephone calls and in-person inquiries from various sources, including claimants, witnesses, general public, police and probation officers and other court staff, applying knowledge of departmental regulations and procedures when answering public inquiries and providing information. 
  • Receive, receipt, and record payments or other revenue received in department in accordance with county cash handling policy; process and disburse restitution payments. 
  • Perform other related duties as assigned to accomplish overall purpose of the position.

POSITION REQUIREMENTS

SKILLS/QUALIFICATIONS: 
This is not an exhaustive or all-inclusive list of responsibilities, skills, duties or functions associated with the job. 
Any equivalent combination of education and experience, which demonstrates the knowledge, skills and abilities required, will be considered. however, the following is preferred:  

  • At least two years clerical experience of a progressively responsible nature, one year of which must have been in public or private law office.
Required: 
  • Ability to obtain certification to the Law Enforcement Data System (LEDS).
  • At time of appointment, must possess valid Oregon drivers license 
  • Regular and consistent attendance 
Desirable Qualification: 
Notary Public licensure. Experience in public or private law office

Knowledge of: General knowledge of standard legal office practices, procedures, documents, legal terminology, business English, grammar, spelling, basic arithmetic, composition, recordkeeping, filing and database entry to perform the required tasks; basic knowledge of State and Federal Court Rules as it relates to Juveniles. Skill in: computer systems and computer applications related to the job with advanced keyboarding skills; use of modern office equipment, telephone, and computer software systems. Ability to: communicate effectively in oral and written forms, maintain confidentiality, accurately perform basic mathematical operations, plan and prioritize work and make relevant decisions using sound judgment; establish and maintain records, reports, calendars and statistical data; courteously meet and deal effectively with employees, clients, families, other agencies, court personnel, attorneys, law enforcement officials, commissions, contractors, vendors and the general public; and maintain confidentiality at all times.

SCREENING & EVALUATION

While not part of initial applicant screening, the finalist for this position may be required to pass a criminal history background check as part of a contingent offer of employment.  Conviction of a crime may not necessarily disqualify an individual from employment.
 
Employment is contingent upon a pre-employment drug screen.  Presence of non-prescribed drugs, including marijuana, on drug screen results will result in disqualification pursuant to the County's drug and alcohol policy. 

Position requires infrequent driving.  Finalist will be required to provide a driving history that meets the Douglas County Driver Policy as part of contingent offer of employment.
