Primary Function:
Provide administrative support for Assistant State's Attorneys assigned to the Juvenile Justice Division.
Working Environment: Hours: Monday Friday 8:30 a.m. to 4:30 p.m.
Physical Requirements:
Light Work: The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles.
Duties and Responsibilities:
- Facilitate all incoming calls daily regarding information, questions, and sometimes re-direct calls to the proper location.
- Navigate various case management systems (Justice Nexus/Clerks/SharePoint), etc. to acquire needed information.
- Take all necessary telephone messages and send via email to the appropriate person.
- Receive sort and distribute all incoming mail accordingly.
- Scan all incoming mail.
- Distribute all scanned mail to designated courtroom staff, via SharePoint folders.
- Time and date stamp all incoming motions or other legal documents being served on the office.
- Assist all visitors that walk into the office.
- Interact with the State's Attorney's employees and other agencies.
- Perform other duties and special projects as assigned.
Qualifications:
Required:
- The candidate must have excellent verbal and written communication skills, excellent organizational skills and the ability to multi-task.
- Proficiency in Microsoft Word applications required.
Preferred:
- Knowledge of Share Point, Clerks and CRIMES computer skills.
- Knowledge of Juvenile Crimes
- Typing speed of 50+wpm.
