Legal Administrative Support

Jackson Walker, the largest law firm in Texas, has an exciting full-time employment opportunity for Legal Administrative Support in our Austin office. The Legal Administrative Support role provides administrative and clerical support to attorneys, Legal Administrative Assistants, and Paralegals across multiple practice areas. This position is responsible for preparing legal documents, managing files, coordinating administrative tasks, and supporting day-to-day legal operations while maintaining a high level of accuracy, professionalism, and confidentiality.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Document Preparation & File Management
- Prepare, proofread, and format legal documents, including correspondence, pleadings, and contracts.
- Scan and profile documents and correspondence into the Firm's document management system (iManage).
- Organize and maintain electronic files and ensure proper document storage and retrieval.
Administrative & Operational Support
- Submit conflicts requests to initiate new client and matter files.
- Enter billable time for attorneys and assist with revisions to pre-bills.
- Coordinate and schedule travel, meetings, and appointments.
- Submit expense reimbursements in a timely manner.
- Provide overflow assistance and perform additional administrative and secretarial duties as needed.
Practice Support
- Support attorneys and legal staff across multiple practice areas with day-to-day administrative needs.
- Apply basic knowledge of legal terminology, documents, and court systems to support workflow processes.
Collaboration & Communication
- Maintain effective communication with attorneys, clients, and staff.
- Work collaboratively across teams while managing competing priorities.
- Demonstrate professionalism, discretion, and confidentiality in all interactions.
QUALIFICATIONS:
- High school diploma or GED required; bachelor's degree preferred.
- Minimum of 3 to 5 years of administrative experience in a law firm required.
- Proficiency in Microsoft Word (including styles), Adobe Acrobat Professional, and pdfDocs.
- Familiarity with Microsoft Excel, PowerPoint, and time entry systems.
- Experience with document management systems (iManage preferred).
- Basic knowledge of legal terminology, legal documents, and court systems.
- Strong organizational, proofreading, and editing skills with attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and manage multiple demands in a fast-paced environment.
- Ability to work independently and as part of a team.
- Ability to handle confidential information with discretion.
