Position Details:
Provide support to the Managing Attorney’s Office as necessary, with particular focus on all aspects of Attorney Admissions, CLE Support, and Library Services.

Location:
New York office or DC office (3 days a week in office requirement)
Primary Responsibilities
Library Services:
Manage all aspects of firm subscriptions, including:
Subscription renewals and contract negotiations;
Subscription user lists and access;
Username and password management;
Overseeing payment of subscriptions/submitting subscription invoices; and
Setting up external training for subscriptions/platforms.
Oversee Library Services inbox and respond to internal requests such as:
Requests for article pulls;
Requests for access to firm subscriptions;
Requests for new books - researching where books are available, pricing, and shipment to specific office locations;
Requests for new subscriptions;
Meeting with subscription representatives to obtain pricing and a demonstration of the platform;
Assist attorneys and analysts with research requests, such as pulling case dockets, articles, or citations; and
Fields questions and issues that arise regarding firm subscriptions and platforms.
Keep Library Services Organized:
Save and organize key documents on the firm’s DMS;
Audit subscription user lists;
Keep track of Library Services’ budget and purchases;
Keep track of subscription renewal dates;
Audit the Library Services Subscriptions page and Print and Online Resources Page on the firm Intranet site;
Prepare monthly usage reports for allocated subscriptions including Accurint, Bloomberg, Court Alert, Westlaw, Case Notebook, and Pacer. Review usage reports for closing matters to ensure known subscription and/or research costs associated with the closing matter have been posted in 3E as billable;
Assist with in-processing and out-processing by ensuring new employees get set up with subscription access, and exiting employees’ access gets removed. Meet with new attorneys to onboard them to Library Services; and
Memorializes Library Services processes by creating cheat sheets with helpful information/tips and creating and maintaining the Library Services Playbook.
Attorney Admissions:
Review emails sent to the Attorney Admissions email distro and respond to inquiries as needed.
Serves as back up to the team when someone is out or if the distro is very busy.
Assists with calendaring admissions deadlines and renewals, preparing admission cheat sheets, and reviewing procedural questions with regards to admission into different courts.
Continuing Legal Education:
Assist with CLE credit processing.
Managing Attorney’s Office:
Reviews emails sent to the MAO Support email distro and responds to inquires as needed.
Requirements:
3-5 years+ experience in a law firm library in a reference/research position and expertise in legal and corporate research, required
Bachelor's degree is required.
Knowledge of standard research resources including, but not limited to, Westlaw, LexisNexis, Bloomberg Law, etc.
Knowledge of a wide variety of general electronic research databases, both fee-based and free, subject-specific databases, and legal analytics tools, required.
Excellent communication skills.
Strong multitasking and prioritization abilities.
Self-motivated with the ability to work well independently and to collaborate with client's team and other contract researchers to effectively prioritize and execute tasks
Excellent communication and interpersonal skills, with the ability to collaborate across departments and build strong professional relationships.
Experience in vendor management, including cost analysis and service evaluation.
Flexibility to adapt to a dynamic, fast-paced environment and manage multiple priorities effectively.
Proven ability to develop and enhance departmental resources and processes for improved efficiency.
Strong work ethic and self-motivation, with a commitment to continuous improvement and operational excellence.
Company Description:
At the time of posting, the salary range for this role is $85,000 (minimum) – $100,000 (maximum). This range is based on a full-time work schedule. Other compensation may include an annual discretionary bonus. The successful candidate’s actual salary will be determined based on permissible, non-discriminatory factors, including but not limited to relevant experience, qualifications, licensure/certifications, training, skills, and market data.
