Job Description
An Executive Legal Assistant (ELA) provides high-level administrative and legal support to executives, assisting with schedules, communications, and day-to-day operations that often include confidential or legal matters. The role requires strong organizational, communication, and analytical skills, as well as professionalism, discretion, and attention to detail.
Key Responsibilities:
- Calendar & Scheduling: Manage executive calendars, schedule meetings, and coordinate travel arrangements.
- Legal & Document Support: Prepare, review, and maintain contracts, agreements, and other legal correspondence.
- Communication Management: Draft and handle emails, phone calls, and formal communications on behalf of executives or legal counsel.
- Meeting Coordination: Organize meetings, prepare agendas and supporting materials, take minutes, and follow up on action items.
- Document Preparation: Conduct legal and administrative research, and compile reports or summaries for executive review.
- Office & Project Management: Support legal and compliance projects, track deliverables, and maintain organized digital filing systems.
- Confidentiality & Discretion: Handle sensitive legal, personnel, and organizational information with the highest level of confidentiality.
- Stakeholder Liaison: Serve as a professional point of contact between executives, attorneys, vendors, and organizational leaders.
- Event Planning: Coordinate executive or board meetings, trainings, and compliance-related events.
- Problem-Solving & Decision Support: Provide timely information and insights to assist with executive and legal decision-making.
Skills & Qualifications:
- Strong understanding of legal terminology, documentation, and administrative processes
- Excellent organizational and time-management skills
- Excellent written and verbal communication
- Proficiency in office software (Microsoft Office, Google Suite, etc.)
- Ability to multitask and prioritize tasks effectively
- High level of professionalism and discretion
- Experience with travel coordination and event planning
- Strong interpersonal skills for liaising with executives, clients, and teams
