Job Description:

The Legal Billing Specialist is responsible for supporting the firm’s billing function by preparing and processing invoices, managing electronic billing submissions, coordinating with clients, and assisting with new client billing setup. This role ensures that all billing procedures are completed accurately and in compliance with client guidelines.

Key Responsibilities:
• Prepare, review, and submit client invoices via email, mail, and electronic billing systems
• Monitor and manage billing deadlines to ensure timely invoice submission
• Collaborate with attorneys and legal staff to ensure bill accuracy and compliance with client terms
• Respond to client inquiries regarding invoices and billing documentation
• Create and submit budget templates and fee estimates as requested by clients
• Set up new clients in billing systems and client-specific billing portals
• Maintain accurate billing records and assist with tracking billing-related metrics


Qualifications:

Required Skills and Experience:
• Previous experience in legal billing or general invoicing roles required
• Strong written communication skills with attention to detail
• Familiarity with legal billing procedures and electronic billing platforms (e.g., Legal Tracker, CounselLink, or similar systems) is a plus
• Ability to work effectively in a team environment and independently manage assigned tasks
• Excellent time management and organizational abilities
• Ability to prioritize and manage multiple tasks in a deadline-driven environment
• Professional and courteous in interactions with both clients and internal team members

Education:
• High school diploma or GED required
• Additional education or training in accounting, business administration, or legal studies is preferred
