Job Description

TRIBAL COURT CLERK

 

Team:  Self Governance

Salary Grade:   Grade 14, $32.30 to $48.86 per hour DOE

 

Reports To:  Director of the Office of Self Governance

Schedule:  Flexible to be either Part Time Regular or Full Time Regular

 

FLSA Status:  Hourly & Eligible for Overtime Pay

POSITION SUMMARY

 

The Tribal Court Clerk provides comprehensive support to the Native Village of Eyak Tribal Court by managing court operations, maintaining accurate records, and assisting Judges with administrative and judicial duties. This position ensures compliance with Tribal policies, laws, and regulations, coordinates with external agencies, and delivers high-quality service to court participants. The role requires strong organizational, communication, and problem-solving skills, with the ability to work independently and collaboratively while maintaining confidentiality and cultural sensitivity.

 

 


ESSENTIAL DUTIES

·         Court Operations & Case Management

o   Support Tribal Court Judges to develop, implement, and support new court services.

o   Maintain court dockets, monitor case status, and schedule hearings.

o   Attend, record, and transcribe court proceedings using sound and video equipment.

o   Prepare and distribute case materials to the State of Alaska, Tribal Court Judges, and other relevant parties.

o   Maintain confidential records of all court proceedings, including case opening and closure.

·         Compliance & Monitoring

o   Monitor court respondents and individuals assigned to community work service for compliance.

o   Identify and report compliance violations to appropriate entities.

o   Collaborate with the Department of Justice and other entities to ensure regulatory compliance.

o   Maintain knowledge of Tribal policies, decrees, laws, and related legal materials.

·         Administrative & Judicial Support

o   Serve as secretary to Judges, assisting with administrative and clerical duties.

o   Support judge-related activities and manage associated records.

o   Serve as a point of contact for appellants, assisting with filing, paperwork, and document retrieval.

o   Receive, track, and process all court-associated fees.

·         External Relations & Coordination

o   Coordinate with law enforcement, including the City of Cordova Police, for document service and sentence monitoring.

o   Maintain and manage agreements with external agencies.

·         Grants & Reporting

o   Draft, write, and maintain grants and related documentation.

o   Prepare and submit all federal, state, and departmental reports accurately and on time.

·         Other Duties

o   Perform other duties as assigned to support the Tribal Court’s mission.

o   Works safely in accordance with OSHA regulations and company safety policies.

o   Immediately reports unsafe conditions, hazards, or injuries to HR or the designated safety contact.

o   Attends all mandatory special events, meetings, and trainings.

o   Assists with special events, meetings, and trainings as necessary.

o   Maintains confidentiality at all times.

o   Maintains awareness and sensitivity to Native American Culture.

o   Performs other duties as assigned.

·         Ability to understand and apply Tribal community customs, programs, and services.

·         Ability to follow courtroom procedures, policies, and relevant laws/regulations.

·         Ability to implement Tribal administrative policies in finance, purchasing, and personnel.

·         Ability to prepare, review, and manage legal forms, documents, and citations accurately.

·         Ability to apply basic accounting, budgeting, and program planning principles.

·         Ability to deliver excellent customer service and effectively use job-related software.

·         Ability to communicate clearly and professionally, both orally and in writing.

·         Ability to prioritize tasks, manage time, and stay organized in a fast-paced environment.

·         Ability to maintain accurate records and ensure confidentiality.

·         Ability to solve problems, make decisions, and exercise sound judgment.

·         Ability to work independently and collaborate effectively with team members.

·         Ability to adapt to changing priorities and handle multiple responsibilities with professionalism.

·         Ability to support policy implementation and follow directives while respecting Judges.

 

COMPUTER SKILLS (delete what’s not applicable to this position)

        Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

        Skilled in email, calendar, and scheduling tools.

        Comfortable with online collaboration platforms (e.g., Teams, Sharepoint, Zoom).

        Able to enter, manage, and retrieve data from databases.

        Quick to learn and adapt to new software or technology.

        Experience with MIP Accounting, Microix, SmartSheets, Fleetio, or Rippling is a plus.

 

 

 


EDUCATION AND EXPERIENCE

 

Preferred Qualifications:

  • High school diploma or equivalent; Associate degree in Business Administration, Criminal Justice, or a related field preferred.
  • Experience as a Tribal Court Clerk or in a related role, demonstrating strong communication, interpersonal skills, and the ability to learn quickly.
  • Alaska-based Tribal Clerk certification or willingness to obtain within 18 months of hire.
  • Commitment to maintaining confidentiality and demonstrating high moral character and integrity.
  • Possession of, or ability to obtain, a valid Alaska driver’s license with a clean driving record and insurability under the Native Village of Eyak driving policy.
