GENERAL DESCRIPTION: 


The Laramie County District Attorney's Office is seeking highly motivated, organized, and professional applicants for an Office Support Specialist position. Under the direction and supervision of the District Attorney and Deputy District Attorney, this position serves as the primary point of contact for incoming phone calls, visitors, and legal documents.

This position performs a wide range of general office, administrative, and legal support duties with limited supervision. Responsibilities include greeting and assisting the public, victims, witnesses, defense attorneys, and law enforcement personnel while maintaining professionalism, confidentiality, and exceptional customer service.

The Office Support Specialist also provides agency-specific legal and administrative support requiring a strong understanding of applicable rules, regulations, policies, procedures, and office operations within the District Attorney’s Office. The ideal candidate will possess excellent communication skills, strong attention to detail, the ability to manage multiple priorities, and a commitment to serving the public in a fast-paced legal environment.

ESSENTIAL FUNCTIONS:  The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.


  • Acts as a specialist in the assigned area, performing general office and reception duties, including legal secretary responsibilities.
  • Receives and reviews incoming documents, ensuring proper filing in the document database.
  • Resolves problems and makes recommendations for improvements.
  • Performs specialized tasks and coordinates general office functions related to the District Attorney's Office.
  • Maintains and reviews case files to determine actions to be taken.
  • Evaluates information for accuracy.
  • Files legal documents with the appropriate courts.

Qualifications


PREFERENCES: 
 
 
Preference will be given to applicants with progressive work experience in Business Office Communications as well as progressive work experience in the criminal justice system.
 

KNOWLEDGE:


  • Knowledge of applicable federal, state, and local laws, codes, regulations, and policies, technical processes, and procedures related to the departments.
  • Knowledge of general office skills plus a comprehensive knowledge of pertinent rules, regulations, policies, and procedures.
  • Knowledge of techniques for providing a high level of customer service.
  • Knowledge of office procedures, standards, and practices.
  • Knowledge of legal concepts, terminology, principles, and procedures.
  • Knowledge of Microsoft Word, Excel, and computer programs.
  • Ability to work independently with frequent interruptions.
  • Skill in the operation of multi-line telephone, data entry, computer, and related office equipment.
  • Skill in organization and establishing priorities.
  • Skill in writing correspondence and attention to detail.
  • Skill in working with the public and ability to communicate effectively with a wide variety of people, including victims and witnesses of crimes, especially in difficult situations or times of high stress.
  • Skill in record keeping.


MINIMUM QUALIFICATIONS:
 
 
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
 
Certificates, Licenses, Registrations:
None

OR

Education:
Associate's Degree (typically in Business)
  
Experience:
0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

Necessary Special Requirements


PHYSICAL WORKING CONDITIONS:

 

  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, etc.
  • Special physical demands are not required to perform the work.
  • Frequent walking to and from the Courts.

  • Special Note:  This is an At-Will position and is appointed by and serves at the pleasure of the District Attorney pursuant to W.S. §9-1-804(c)
