Introduction


Delaware's Attorney General, the State's chief law enforcement officer, has a broad responsibility to combat crime, uphold civil rights, safeguard families, fight fraud, and protect consumers in the First State.

In meeting this mission, Attorney General Kathy Jennings is supported by teams of talented lawyers and staff in the Criminal, Civil, Family, Fraud and Consumer Protection, and Civil Rights and Public Trust Divisions. Each of the more than 500 staff who work in the Office of the Attorney General are dedicated to serving all Delawareans with integrity and passion.

Deputy Attorneys General, with critical support from criminal special investigators, victim service specialists, paraprofessionals, and administrative staff, prosecute criminal cases, enforce consumer laws, provide counsel to state agencies, ensure the public's access to open government, protect the abused, and much more.

Summary Statement
The Delaware Department of Justice is seeking a professional and customer-focused individual to serve as the Receptionist for its Fraud & Consumer Protection Division, specifically within the Consumer Mediation Unit, located in the Brandywine Building at 1000 N. West Street, Wilmington, DE 19801.

The standard work hours are 8:00 a.m. to 4:30 p.m. Monday through Friday.  The primary duties include answering and transferring a high volume of telephone calls that come in.  The Receptionist may also professionally greet guests, process mail, scan documents, and accurately enter consumer data in the case management system.  This position answers multiple busy telephone lines and is expected to take accurate messages and forward telephone calls to the appropriate person(s) in the Department/Division/Unit.  This position is expected to respond to general questions about the Department of Justice and more specifically, questions related to the Fraud & Consumer Protection Division and the Consumer Mediation Unit.  Duties may also include other clerical/administrative functions such as typing, filing, copying, collating information, and outreach preparation.

The ideal candidate must be detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced environment. Proficiency in Microsoft Word and the Office Suite is required, along with strong verbal and written communication skills, including excellent spelling, grammar, and proofreading abilities. The candidate must be able to answer phones, take accurate messages, and demonstrate a solid understanding of professional reception practices, including effectively eliciting and sharing routine information.
Essential Functions
Essential functions are fundamental, core functions common to all positions in the class series and are not intended to be an exhaustive list of all job duties for any one position in the class.   • Processes information to include sorting, coding, entering, modifying, deleting, filing and retrieving data; establishing new files and new filing systems; maintaining control of data and conducts follow-up to maintain continuity of operations; purges and disposes of data/records.
  • Interacts with the public, clients, vendors, agency staff and others to respond to inquiries and to process information/data. May schedule appointments, coordinate conferences, hearings, travel, and related office activities. 
  • Explains standard forms, policies, procedures, agency services, systems and basic program requirements; screens complaints and provides basic technical guidance to State agencies and the public; refers individuals to appropriate agencies. 
  • Collects and compiles data to prepare reports; may compose and type routine correspondence.

Job Requirements
Applicants must have education, training and/or experience demonstrating competence in each of the following areas:

1. Six months experience in office operations such as operating office machines, handling incoming and outgoing mail, postal and shipping services, answering phones, directing calls and taking messages; file maintenance; maintaining and updating supplies.
2. Knowledge of data collection which includes collecting, compiling and maintaining data from multiple sources such as files, records, databases, customers, staff or others.
3. Knowledge of record keeping.
4. Knowledge of using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data.
