Employee Benefits Legal Administrative Assistant Details:

Snell & Wilmer, one of the largest and most prestigious law firms in the Western United States is seeking a Legal Administrative Assistant to support the Employee Benefits Practice Group in our Phoenix office.  

This role involves handling administrative, document management, and compliance support functions related to matters involving ERISA, retirement plans, and health and welfare plans.  The ideal candidate will have experience in a legal environment and possess a strong understanding of employee benefits procedures and documentation.

The hours are Monday through Friday from 8:30 a.m. to 5:00 p.m. 

Responsibilities will include, but are not limited to the following:

  • Administrative Support:
    • Manage and maintain attorneys' schedules, including arranging meetings, appointments, and travel.
    • Anticipate attorney needs and provide proactive support.
    • Provide general administrative support as needed to ensure efficient operation of the practice group.
    • Serve as a liaison between attorneys, clients, and external parties, providing timely updates and facilitating communication.

  • Billing and Time Entry Assistance
    • Manage attorney time entries and assist with billing coordination
    • Assist with monthly billing processes and coordinate with accounting or billing departments as needed

  • Document Preparation and Proofreading
    • Format and scheme plan documents, amendments, and executive compensation agreements
    • Review documents for consistency, grammar, and accurate use of defined terms
    • Prepare, proofread, and edit legal documents, memoranda, and correspondence
    • Prepare cover emails and assemble documents for execution and delivery
    • Track execution of plan documents, amendments, and other client materials

  • Filing and Organization
    • Maintain and organize legal files, including opening new matters and managing relevant documents within the firm’s document management system.
    • Maintain well-organized client files for benefit plans, IRS filings, and client correspondence, etc.
    • Organize due diligence materials, managing document production, and coordinating communication between clients, attorneys, and third parties
    • Assist with the preparation and filings of forms with the IRS and Department of Labor
    • Maintain calendars and track key filing deadlines and compliance update reminders

 

Experience and Qualifications:

  • Experience: Minimum 3+ years of experience as a legal administrative assistant, preferably in a law firm or in an employee benefits legal environment.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and document management systems.
    • Familiarity with employee benefits terminology, i.e. ERISA, retirement plans
  • Communication: Strong written and verbal communication skills.
  • Attention to Detail: Ability to accurately review and format legal documents and filings.
  • Organizational Skills: Excellent time management and organizational skills, with the ability to juggle multiple projects and deadlines.
  • Team Player: Strong collaborative skills with the ability to work effectively in a team-oriented environment.
