
Job Purpose:
To assist and relieve attorneys and paralegals of administrative and clerical work, ensuring efficient operation and high levels of client satisfaction. This role involves managing schedules, coordinating appointments, handling client communications, supporting attorneys and paralegals, and performing general administrative tasks.
Key Responsibilities:
- Calendar and Appointment Management:
- Manage calendars by adding, subtracting, and modifying appointments.
- Be aware of professional staff's schedules, capacity, and scheduling restrictions.
- Schedule appointments for client consultations, determining the length of the appointment and collecting and inputting relevant documents and information into attorney calendars.
- Distribute Platinum Questions, Document Reviews, Emails-to-Case, and Joint Venture and Living Trust consultations, keeping track of turnaround times and due dates.
- Client Communication:
- Communicate with clients to provide information, answer questions, obtain additional information, and follow through on requests.
- Establish a stellar rapport and build strong relationships with clients in a friendly and confident manner.
- Utilize knowledge of Anderson's legal and tax strategies to better assist clients.
- Departmental Coordination:
- Work directly with other members of the Law Firm, including attorneys and paralegals to assist clients efficiently.
- Shift workload appropriately to available team members when one or more team members are out of the office.
- Communicate with other departments, utilizing the resources and knowledge of each professional in their respective departments.
- Administrative and Clerical Work:
- Perform general administrative and clerical tasks with a high degree of accuracy and attention to detail.
- Consistently display professionalism and use accurate grammar, spelling, and tone in both written and verbal communications.
- Maintain organized records and ensure timely completion of assigned tasks.
Required Qualifications:
- 2 years post-secondary education.
- Relevant administrative experience; legal secretary experience or law office background beneficial.
- Must be well-versed in MS Office, Adobe, G Suite, Gmail, and Google Calendar.
- Proficient typing skills.
Preferred Qualifications:
- Paralegal certificate is a plus but not required.
- Advanced degrees are desirable but not required.
- Experience with CRMs (especially Salesforce) is a plus.
