- POSITION OVERVIEW
- The Administrative Assistant serves as the first point of contact for the public in the Gallatin County Attorney’s Office, providing front-line customer service and a wide range of administrative support. This position ensures a professional and welcoming environment for all visitors and callers and supports the daily operations of the office through clerical, data entry, and file management tasks. The role also provides administrative assistance to the Victim Services Program and other staff within the County Attorney’s Office.ESSENTIAL DUTIES and RESPONSIBILTIESDuties include but are not limited to the following:
- Greet and assist visitors, including members of the public, law enforcement, and city/county staff; escort them to the appropriate person or office as needed.
- Answer, screen, and forward incoming phone calls; take and relay messages.
- Maintain a clean and organized reception area; ensure necessary supplies are stocked.
- Receive, sort, and distribute mail, documents, and deliveries in a timely manner.
- Monitor office security via front-desk systems; follow safety protocols and control access to the office.
- Perform a variety of administrative and clerical duties to support the County Attorney’s Office, with particular focus on the Victim Services Program.
- Open and maintain physical and electronic case files; ensure accurate and timely data entry across multiple databases.
- Request and collect documents from law enforcement, courts, and other external agencies.
- Draft and edit correspondence, memos, and other documents; compile information as requested.
- Refer complex, sensitive, or contentious matters to appropriate personnel for resolution.
- Adhere to confidentiality guidelines in the handling of sensitive information and case materials.
- Assist with compiling and organizing data for annual grant applications and reporting requirements.
- Perform other duties as assigned by the Legal Support Supervisor.
- QUALIFICATIONS
KNOWLEDGE, SKILLS, and ABILITIES
- Proficiency with Microsoft Office Suite (Word, Outlook, Excel).
- Familiarity with case management systems and electronic recordkeeping preferred.
- Strong attention to detail and ability to handle sensitive or confidential information with discretion.
- Ability to follow office procedures and work independently within established guidelines.
- Excellent written and verbal communication skills.
- Ability to interact professionally with the public, law enforcement, and other agencies.
- EDUCATION & EXPERIENCE
- High school diploma or equivalent required.
- One to two years of relevant administrative, clerical, or customer service experience; or an equivalent combination of education and experience.
