- Description
The Business Office is responsible for the accounts payable and supply management function of the Office. This includes processing all vendor payments, travel payments, petty cash disbursements, ordering supplies, employee reimbursements and liability claim payments. This section verifies that funds are available and that the payments are in compliance with existing contracts, approved City Council settlement instructions and City policies and guidelines. This section is also responsible for the deposit of monies received by the Office and the preparation of various financial reports due to the City Controller and other City departments.
- Duties and Responsibilities
An Accounting Clerk performs difficult and responsible clerical accounting work in the review, preparation, processing, reconciliation, and maintenance of accounting records and reports, processing and monitoring of invoice payments, and personal services contract invoice payments; may perform cashiering duties or may act as a lead person in the performance of such work.
The responsibilities of this position include preparing and processing of accounting documents using the City’s Financial Management System (FMS); setting up, encumbering and paying various vendor invoices; processing various employee reimbursements; managing supplies which includes ordering and receiving goods; coordinating and booking travel arrangements and payments; reconciling the petty cash fund and recording all transactions using Microsoft Access; scanning and photocopying payment requests and accounting documents; maintaining inventory of stamps and dash tickets, preparing accounting files for records retention; performing various print jobs and data entry; preparing and distributing various reports for Management; preparing and typing memos as needed; communicating with various vendors, City Attorney staff and other City departments including the Controller’s Office; responding to telephone, written and walk in inquiries; scanning, filing and photocopying contracts and accounting documents; delivering various documents to City offices; and other duties as assigned.
- Requirements
The position requires a person with one year office clerical experience; Must be organized, able to work well under pressure, and detail-oriented. Applicants must also have initiative and the ability to communicate effectively, orally and in writing, and work in a fast-paced environment. Reliable attendance and punctuality are mandatory. Applicants must be knowledgeable in the operation of personal computer equipment.
This position also requires a person to lift boxes (up to 25 lbs.).
The hours for this position are 8:00 a.m. to 5:00 p.m., Monday through Friday.
Desirable Qualifications
- Six months of clerical accounting-type work experience;
- Successful completion of six semester or nine quarter units in bookkeeping or accounting from an accredited trade school, college or university may be substituted for a maximum of six months of the above required experience; and
- Experience performing accounting-type work and ordering supplies. Proficient in Excel and Access.

Telework
This position may qualify for up to two days of telework per week.
Current Location
City Hall East, 200 N. Main Street, Los Angeles. Position is subject to assignment at any location within the County of Los Angeles.
Probation
Appointment to this exempt position (non-Civil-Service) will be subject to a one (1) year probationary period as required by Section 1050 of the City Charter. Successful completion of the one (1) year probationary period will result in tenure with the office.
