Job Description

JOB OBJECTIVES: Under the general supervision of the Chief Deputy Clerk, performs a variety of complex clerical tasks involved in the processing, reviewing, and filing of legal documents pertaining to Juvenile Court matters. Provides direction and assistance on Juvenile Court matters to attorneys and the public. Opens case files, receipts monies, provides counter assistance, reviews files for court action, prepares statistical reports, and closes cases. Acts as a backup to Journal Clerks by performing Journal Clerk duties during trials and when Journal Clerks are unavailable due to vacations and sick time. These duties include prepping journal entries from established templates, listening to court hearings, and completing entries for the jurists.

 

ESSENTIAL FUNCTIONS:

Deputy Juvenile Court Clerk

  • Receive, file and distribute court documents, including the creation of case files.
  • Respond to inquiries from the public as well as other agencies, to provide information about court procedures.
  • Collect and receipt court fees and fines.
  • Contact and appoint counsel for parties to court cases.
  • Aid parties checking in and out of court.

 

Journal Clerk Float

  • Review case files for hearings set on the court docket to pre-populate draft journal entries utilizing established templates.
  • Listen to hearings and input information to prepare completed entries for jurists.
  • Cover for other journal clerks as needed.
  • Provide clerical support to professional staff and administration when necessary.

 

JOB REQUIREMENTS:

Critical Skills/Expertise:

  • Critical thinking skills.
  • Ability to type efficiently and utilize word processing programs for document creation and editing.
  • Experience with office and legal procedures; court experience preferred.
  • Knowledge of record keeping practices, office administration and legal procedures.
  • Proficiency with Microsoft Office products, such as Word, Outlook, Excel, and Teams.
  • Experience with CourtView or willingness and ability to learn the Court’s case management system.
  • Ability to maintain confidentiality.
  • Dependability, reliability, follow through on assignments, and excellent attendance record.
  • Professional appearance, demeanor, and ability to interact and maintain effective working relationships with Judge, magistrates, co-workers, attorneys, and individuals conducting business with the Court.
  • Ability to adapt to procedural changes in the workplace environment.
  • Proficient in time management skills, highly organized, and detail oriented.
  • Ability to operate both independently and as a team player.

 

Physical Requirements: Incumbent performs work that may require lifting up to twenty-five (25) pounds occasionally. Ability to operate a motor vehicle.
