Job Summary:
We are seeking a seasoned Legal Receptionist/Secretary with a minimum of 10 years of experience in a legal environment. This dual role position requires a highly organized and personable individual who can manage front desk operations while providing essential secretarial support. The ideal candidate will possess excellent communication skills, a strong work ethic, and a genuine desire to assist clients.
Responsibilities:
Receptionist Duties:
· Receive clients and visitors professionally and courteously.
· Answer calls, take messages, and provide information.
- Schedule appointments and manage the firm's calendar.
- Maintain a clean and organized reception area.
- Receive and distribute mail, faxes, and deliveries.
- Manage client intake process, including collecting necessary information and documents.
- Provide general administrative support, such as photocopying, scanning, and filing.
Secretary Duties:
- Maintain and organize client files, both physical and electronic.
- Draft, format, and proofread legal documents, including correspondence, forms, and applications.
- Assist with the preparation of immigration forms and supporting documents.
- Schedule appointments, hearings, and meetings, managing attorney calendars and deadlines.
- Prepare and file documents with various government agencies, including USCIS, EOIR, and DOL.
- Manage and process outgoing mail and correspondence.
- Perform data entry and maintain accurate records in case management software.
- Assist with travel arrangements for attorneys and clients as needed.
- Transcribe dictation and notes as required.
- Other administrative duties as assigned.
Requirements- Minimum of 10 years of experience as a Legal Receptionist/Secretary, preferably in an immigration law firm.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with case management software.
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- Ability to multitask and prioritize1 tasks in a fast-paced environment.
- Attention to detail and accuracy.
- Ability to maintain confidentiality.2
- Knowledge of legal terminology and procedures.
