Position Summary: The Procurement Specialist is responsible for supporting the procurement process in the acquisition of products/services/records. The role consists of ensuring accurate documentation for all transactions, coordinating with other departments, reviewing and reconciling credit card charges, identifying discrepancies, and providing insights to improve procurement processes.
Key Responsibilities:
• Manage the end-to-end procurement process, including requisitioning, purchase order creation, order tracking, receipt verification, and accurate invoicing (e.g. 3-way match).
• Liaise with internal departments to understand their procurement needs and provide timely support.
• Ensure clear and effective communication with suppliers and internal stakeholders to avoid delays or misunderstandings.
• Provide regular updates on the status of orders, deliveries, and any issues that may affect the procurement process.
• Process credit card orders for products/services/records.
• Reconciling credit card charges.
• Create and manage purchase orders.
• Ensure timely and accurate delivery of products/services/records.
• Maintain accurate records of procurement activities.
• Assist in the preparation of procurement reports and documentation for audits and reviews.
• Ensure all client related expenses are accurately captured and associated with appropriate documentation (e.g. receipts, invoices etc.)
• Assist with monitoring vendor performance and address any issues that arise.
• Assist with resolving discrepancies related to orders and invoices.
• Assist in identifying cost savings opportunities.
• Assist with market research to identify alternate suppliers.
• Present a working knowledge of SharePoint, Adobe sign, and DocuSign
Required Qualifications:
• Minimum of 2 years of experience in procurement, supply chain management, or related field.
• Detail-oriented with excellent organizational and problem-solving abilities.
• Ability to understand contract terms and conditions.
• Excellent communication and interpersonal skills.
• Proficiency in procurement software and tools.
Education Requirements:
• GED or High School Diploma (Bachelor’s Degree preferred)
• Certification in procurement or supply chain management is a plus.
Physical Requirements:
• Office environment with normal business hours necessary to satisfactorily perform job functions.
• Stationary Position – Must be able to remain in a stationary position up to 50% of the time.
• Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
• Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.
• Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
• Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
• Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
