POSITION OVERVIEW
The Paralegal for Risk Management will be responsible for providing administrative and office support to the Executive Vice President/Chief Legal Officer, Executive Deputy Counsel, Deputy Counsel for Litigation, Corporate Compliance Officer, with a focus on working with the Corporate Risk Manager. The candidate will have excellent interpersonal and social skills, while remaining flexible and easily adaptable to changing priorities.
KEY ESSENTIAL FUNCTIONS
- Assist in editing Legal Documents assigned by Chief Legal Officer and Deputies
- Assist in the completion of the following requests for all entities:
- Retrieval and coordination of Video footage access.
- Processing Subpoenas
- Assist in the maintenance of incident tracking
- Conduct internal reviews of Convercent for incident reporting.
- Monitor and update risk-related spreadsheets (e.g., claims, litigation, insurance renewals).
- Help compile data for risk assessments and audits.
- Track and follow up on outstanding risk-related tasks and deadlines.
- Work closely with the finance department to Complete Check Requests for OLA
- Payment of OLA services and invoices from insurance companies/brokers
- Track requests given to Finance Department
- Ensure all vendors receive payments within 60-90 days
- Create and maintain spreadsheets that keep track of legal matters (including claims/litigation)
- Request and manage certificates of insurance for vendors and contractors.
- Assist with coordinating risk management initiatives, including but not limited to
- Support the preparation and submission of insurance applications and renewals
- Staff trainings/ Site inspections
- Boiler inspections
- Vehicle Tracking/GPS devices
- Loss control with insurance companies
- Liaise with insurance brokers and carriers regarding claims and policy updates.
- Receive and scan all documentation served to OLA office.
- Manage incoming and outgoing communications, maintain accurate messages and disseminate same, maintain schedules for OLA
- Develop and maintain a filing system for Chief Legal Officer, Deputies and Risk Manager as necessary
- Operational Risk Support
- Assist in organizing and documenting site inspections, vehicle tracking, and loss control initiatives.
- Help coordinate staff training sessions on risk awareness and mitigation.
- Support the Risk Manager in preparing materials for internal reviews and external audits.
REQUIREMENTS
- High School Diploma or GED required.
- Minimum of one year of experience in a legal or administrative support role preferred.
- Ability to use business acumen to exercise good judgment and decision-making.
- Ability to deal with sensitive issues with diplomacy and discretion.
- Proven experience as an administrative assistant and/or paralegal.
- Knowledge of office management systems and procedures.
- Proficiency in MS Office Suite (MS Office, MS Excel and MS PowerPoint).
- Must be able to multitask with strong time management and organization skills.
- Excellent interpersonal skills and able to communicate both verbally and in written form.
