This role will be based in our Westchester County Office, on an in-office basis. Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building.
Position Summary
The Legal Support Specialist provides high-level legal support to a team of attorneys and provides a wide range of complex technical, document processing and administrative services in the assigned practice group/department(s). Candidate should be flexible to work overtime as needed.
Demonstrates professionalism, technical savvy and ability to handle multiple priorities and work in an organized, efficient manner at any given time. The successful candidate will effectively manage all aspects of the professional responsibilities of the assigned attorneys. This role also requires extensive coordination with clients.
Key Responsibilities
Coordinates creation of legal documents as well as the editing, proofreading and processing of legal documents upon request of assigned attorneys, including correspondence, memoranda, closing documents, or other practice specific documents
Maintains legal files (both paper & electronic), organizes and files documents in designated order
Updates transaction information, scans and organizes legal files
Manages document deliveries and tracks final executed documentation, including:
Prepares signature pages for execution and distribute same to all closing parties via electronic means (e-mail, DocuSign, Adobe E-Sign, etc.).
Compiles fully executed transaction documents via PDF, including inserting executed signature pages as well as any related Exhibits/Schedules.
Distributes final closing binders via our file transfer portal (GT Liquid Files).
Submits Conflicts Request for new matter openings; prepare draft Engagement Letter for same.
Understands firm available resources and leverage most effective resource for desired results
Enters attorneys’ billable time, submits to accounting by monthly deadlines, and prepares billing invoices, and other administrative duties.
Supports administrative tasks such as printing, scanning, assembling exhibit binders, and preparing shipping labels and certified mailings
Assists with overflow work and other special projects as assigned
Qualifications
Skills & Competencies
Skilled in handling administrative tasks such as attorney time entry, travel arrangements and processing invoices and expenses
High attention to detail, outstanding organizational skills and the ability to manage time effectively
Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation
Ability to collaborate well in a team
Recognize confidential, sensitive, and proprietary information and maintain such information as confidential
Position also requires the ability to work under pressure to meet strict deadlines
Education & Prior Experience
Bachelor’s Degree or equivalent experience is preferred
The ideal candidate will have 8+ years of experience working in a medium to large sized law firm
Knowledge of laws, legal codes, or agency rules of assigned practice group/dept.
General knowledge of corporate transaction documents
Technology
Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook, as well as document management and other office technologies
The expected pay range for this position is:
$49.29 to $61.62 per hour
Salary will be determined based upon education, experience, job related factors permitted by law, internal equity, and market data, including geographic pay differentials in locations where market pay differs from the national average.
