Job Description

Summary: Staff designated at Dickinson Wright PLLC (“the Firm”) as Transactional Legal Assistants perform a variety of secretarial duties for the attorneys to whom assigned.  Responsibilities include handling administrative tasks, maintaining professional contact with clients, attorneys and staff and ensuring confidentiality of client matters. 

Essential Duties and Responsibilities:

Essential duties and responsibilities of staff designated as Transactional Legal Assistants at the Firm include but are not limited to:

  1. In large financing transactions, track due diligence items;
  2. Monitor drop boxes and update checklists;
  3. Gather signature pages for loan documents. Compile and organizing pdfs;
  4. Send out docs via DocuSign for signature;
  5. Communicate with parties to a transaction to follow up on open items/post-closing matters;
  6. Upon completion of a transaction, prepare both hard copy original closing binders along with large electronic binders;
  7. Support clients, attorneys and other staff members by handling detail-oriented and critical tasks. Assist other legal assistants when time and workload allow;
  8. Open new files, requests conflict of interest checks and generate engagement letters.
  9. Maintain all client and general files. Conduct periodic reviews for possible scanning and destruction of older files, prepare files to be closed and destroyed;
  10. Meet with clients and visitors. Maintain good relationships with clients and ensure confidentiality of attorney-client relationship;
  11. Review and edit proformas. Work with biller to ensure invoices get sent to clients on a timely basis;
  12. Manage attorney expense reimbursements and payments of invoices;
  13. Work closely and in a positive manner with administrative support staff, including peers and staff in other departments;
  14. Maintain attorney calendar and keep items up to date;
  15. Represent attorney by obtaining and forwarding information, follow-up on delegated assignments, knowing when to act and when to refer matters to the attorney.

Qualifications, Skills and Abilities Required:

Transactional Legal Assistants must:

  1. Possess exceptional Word skills and have proficiency in Styles and Tables of Contents. Other Microsoft Office skills highly preferred.
  2. Possess the ability to proofread typed material for grammatical, typographical or spelling errors.
  3. Perform non-complex arithmetic calculations when verifying calculations on forms and documents
  4. Have a minimum of five years of corporate legal assistant experience.
  5. Possess the ability to transcribe legal documents.
  6. Be detail oriented and have the ability to organize and prioritize numerous tasks and complete them under time constraints.
  7. Possess interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff and provide information with ordinary courtesy and tact.
  8. Work occasionally requires a high level of mental effort and strain while producing a high volume of information performing other essential duties.
  9. Work occasionally requires more than 40 hours per week to perform the essential duties of the position.

Working Conditions:

Normal law office environment with little exposure to noise, dust, temperature.
