Job Description

Job Summary: 

The Paralegal Manager is responsible for managing the Firm’s Paralegal Team, overseeing workflow, optimizing efficiency and ensuring alignment with Firm Goals. This role requires the ability to manage a high performing team in a fast paced, deadline-driven environment while handling confidential matters with discretion and professionalism.

 

Essential Job Duties: 

  • Serve as the main point of contact and primary resource for the Firm’s paralegals 
  • Oversee paralegal workflow and recommend process improvements to enhance efficiency and effectiveness.   
  • Analyze and monitor billable hour reports to optimize workload distribution and productivity. Review and provide recommendations with practice groups as needed.
  • Coordinate the mentoring and training of new paralegals to accelerate onboarding and contributions to practice group goals
  • Build process and resource efficiencies to ensure billable hours goals are being met 
  • Recommend process and workflow changes to increase paralegal profitability as needed 
  •  Collaborate with recruiting team and partners to establish paralegal hiring needs and participate in the hiring process
  • Coordinate with various departments and trainers to develop orientation and onboarding schedules and training to ensure smooth transitions into the firm 
  • Stay informed on industry best practices and technologies; integrating them into paralegal process where applicable. 
  • Oversee paralegal performance and work product and provide information for annual evaluations
  • Identify and implement professional development opportunities for paralegal that align with the Firm’s strategic goals 
  • Stay abreast of firm technology to incorporate in the paralegal work process to build efficiencies 
  • Act as the first point of contact for paralegal employee relations matters and partner with HR to resolve issues as needed.
  • Stay abreast of practice group processes and work with practice group directors to ensure the timely and accurate completion of work        
  • Ensure compliance with Firm administrative processes: including approvals for memberships, activities, timekeeping etc. 
  • Manage back-up coverage for paralegal support as needed 
  • Communicate professional development hours for paralegals for annual review process 
  • Serve on the Paralegal Evaluation Committee. Liaison regarding performance issues, special arrangements, leaves of absence, and evaluation information 
  • Foster relationships with the Firm’s paralegals across all markets 

 

Minimum Requirements:

  • Bachelor's Degree and Paralegal Certificate required 
  • At least 8 years of experience as a paralegal 
  • Minimum 5 years in a management position
  • Ability to travel as needed  
  • Ability to independently manage a large group of people and propose and implement solutions
  • Knowledgeable about paralegal processes and legal documents
  • Up-to-date on legal technology and industry best practices 
  • Excellent written and oral communication skills in dealing with a diverse group of professionals
  • The ability to work with/for a variety of personalities. Ability to prioritize, organize and manage work originating with different people
  • Ability to identify areas for improvement and ability to independently develop and implement solutions 
  • A strong service orientation to provide professional, high quality service
  • Must be able to perform all essential duties

Equipment Operated:

This position requires extensive use of a computer and telephone. This position also requires the use of printing, copying, faxing and scanning equipment.

Ability to communicate effectively, verbally and in writing, with a diverse group of people.

 

Work Environment:

While performing the duties of this job, the employee may be exposed to weather conditions while traveling.  The noise level in the work environment is usually moderate.
