The Paralegal will provide comprehensive support for our real estate and corporate leadership team. prioritizing overflow tasks, such as document preparation, administrative duties and project-specific legal support. The Paralegal will work with internal departments to gather necessary information to complete Department tasks and transactions. This includes assisting in tracking critical deadlines and ensuring that projects and contracts are developed on time and with complete accuracy.
The ideal candidate will possess extraordinary attention to detail, and a high level of verbal and written communication skills. A positive team player with the ability to respond effectively to management’s needs and priorities. A strong work ethic and integrity are essential. Experience working in the Department of Real Estate regulated subdivisions all and with real estate escrows is a plus. The ability to learn new things in a fast-paced environment will make for a successful candidate.

- Act as a liaison between leadership and multiple internal departments to coordinate the gathering and assembly of information and documentation required for the sale of homes within Department of Real Estate regulated subdivisions.
- Prepare and update all forms for the sales of residential homes. Create dynamic forms (fillable) when appropriate.
- Perform corporate maintenance tasks for all company entities. Develop a tickler calendar system to ensure timely completion of corporate filings.
- Interface with escrow agents and title officers as requested to move transactions forward.
- Type general correspondence, reports, memoranda, and material of a general nature and documents specific to the legal area as required.
- Proofread documents for grammar, spelling, punctuation, syntax, and formatting consistency.
- Demonstrate working knowledge of word processing features including styles, merge, tables, redlining, table of contents.
- Prepare documents for transmission (mail, email, messenger, overnight service), as required.
- Conducts research and distributes real estate documents.
- Scanning and filing electronic and hard copies of files.
- Manage merge documents and reservation paperwork
- Draft and revise contracts, disclosures, and notices
- Calendar litigation deadlines, meetings and court appearances
- Organize and gathering of information and documents for legal matters and coordinate with legal counsel
- Run subdivision checklist meeting and maintain tracking spreadsheets (DRE progress, deadlines, renewals, updates etc.)
- Oversee invoicing, processing and coding of legal bills,
- Draft formation documents, cash management agreements, including liens/release documents
- File business name statements, obtain EINs and manage publication deadlines
- Maintain confidentiality in all tasks

- Working knowledge of word processing features (i.e. merge, tables, redlining)

This job operates within the professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines

Position Type/Expected Hours of Work:
This is a full time at will position, and work hours are typically Monday through Friday 8:00 a.m. to 6:00 p.m. Evening and weekend work may be required as department needs demand.
Travel:
Travel is primarily local during the business day.
Work Authorization:
Must be eligible to work in the United States.
Minimum Requirements:
- Bachelor’s degree, or commensurate experience.
- A minimum of 5 years’ experience as a real estate paralegal.
- Demonstrates superb organizational, time management, and multitasking skills.
- Excellent collaboration and communication abilities.
- Proficient with Microsoft Office.
- Ability to work under pressure in a fast-paced and deadline-driven environment.
