Job Description
The Litigation practice group in our Dallas office seeks an experienced, proactive Legal Secretary to provide high-level administrative and litigation support to a team of attorneys. This role requires exceptional organizational skills, strong attention to detail, and the ability to handle complex tasks in a fast-paced environment.
- Deliver excellent work and superior service to the Firm’s attorneys and clients; contribute to the Firm’s reputation for excellence by providing highly efficient and effective secretarial and administrative support to a legal team consisting of three or more attorneys.
- Make travel arrangements, answer telephones, read and route incoming mail, maintain attorney calendars and contact lists, schedule appointments, reserve conference rooms, organize and coordinate meetings and conferences, maintain filing, process new business intake, and prepare expense reports.
- Use word processing and document management software (Microsoft Office, including, Word, PowerPoint & Excel, Workshare Compare, Adobe, DMS, etc.) to prepare and revise, format, and finalize a wide variety of documents, including correspondence, memoranda, and other legal materials. In conjunction with the preparation of such documents, the secretary is responsible for proofreading, correctly formatting and questioning any inconsistencies in all materials.
- Enter, proofread, and edit attorney time entries in time capture system (Intapp) and on proforma bills.
- Arrange filing and service of documents; electronically file court documents as required.
- Initiate new client matters and prepare personalized engagement letters.
- Assist with trial preparation, including organizing binders, exhibits, witness files, logistics, and on-site attorney support when needed.
- Aid other secretaries whenever necessary to meet Firm and client needs; foster professional, cooperative and supportive relationships with peers, superiors, and clients.
- Organize and prioritize workload for maximum efficiency and facilitation of Firm and client goals.
- Perform other duties as assigned.
Requirements:
- High school diploma or general education degree (GED).
- Minimum of 10 years of legal secretarial experience.
- Minimum of 5 years of litigation secretarial experience.
- Experience supporting labor and employment attorneys is strongly preferred.
- Extensive experience managing complex state and federal court filings, including mastery of Texas eFiling, PACER/ECF, and court-specific rules, deadlines, and formatting requirements.
- Solid knowledge and understanding of trial procedures and court rules.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and comfort working with updated versions and cloud-based tools.
- Experience with NetDocs (or similar DMS), Workshare Compare / Litera, Adobe, and Intapp (or other time-entry systems).
- Excellent typing skills; minimum of 70 WPM required.
- Possess strong organizational and timeâmanagement skills, with the ability to balance multiple projects and maintain exceptional attention to detail.
- Proficiency in grammar, proofreading, and transcription.
- Ability to provide a high level of customer service and be able to clearly and effectively communicate both verbally and in writing.
- Ability to perform the essential functions of the role with or without reasonable accommodations.
- Ability to work overtime, as required.
- Ability to work well under pressure.
