Job Description

Job Summary:

Responsible for providing administrative support to General Counsel to enhance legal department effectiveness. 

 

Essential Duties and Responsibilities:

  • Provide administrative support to ensure efficient operation of the department.
  • Coordinate and maintain an electronic filing system for documents, contracts, organizational documents, litigation, records, and reports.
  • Prepare and proofread memos and other legal documents such as pleadings, contracts, and discovery for accuracy and efficiency.
  • Manage and respond to correspondence on behalf of the legal department.
  • Serve as a gatekeeper for incoming and outgoing communication on behalf of General Counsel.   
  • Communicate professionally and maintain confidentiality of communication with clients, courts, and outside counsel.
  • Coordinate General Counsel schedule, email, travel, continuing legal education credits. follow up with internal clients to ensure deadlines are met, and documents are retained electronically. 
  • Act as a liaison with internal clients, provide updates to clients and follow up with General Counsel. 
  • Conduct research: assist with light research using online databases and other resources
  • Provide a “Customer Service” attitude when interacting with internal and external customers while accomplishing work, production, and achieving quality standards.
  • Maintain a clean, orderly, and safe workstation/environment at all times.
  • Perform all other duties as assigned.

Supervisory Responsibilities:

  • There are no supervisory responsibilities in this position.

 

Education and Experience:

  • Education: High School or Equivalent
  • Experience: 1-3 years of clerical or office administration experience, law firm experience preferred.   Experience with legal document formatting, e-filing, and case management systems is a plus.

  • Strong organizational skills with the ability to multitask and prioritize tasks.
  • Excellent written and verbal communication skills 
  • Ability to manage sensitive information with discretion and confidentiality.
  • Ability to coordinate projects and work collaboratively with team members.
  • Detail-oriented with strong problem-solving skills.
  • Excellent customer service and interpersonal skills.
  • Knowledge and proficiency in Microsoft Office Suite (Word, Outlook, Excel) and ContractSafe
  • Ability to maintain good attendance habits.
  • Abide by all relevant SOPs as per Company policy as they are related to the position covered by this Job Description.
  • Comply with the company’s safety, quality, environmental, and HR policies at all times.

 

Physical Demands and Work Environment:

  • Frequently required to stand and sit for long periods of time.
  • May be confined to specific area. 
  • Occasionally lift and/or move objects of 50 pounds or more.
  • Operate in an office and production environment. 
  • Ability to stand, bend, kneel to lift objects of 50 pounds or more. 
  • Ability to use stairs and ladders.
  • Ability to carry out tasks in a fast-paced environment, handling multiple tasks at once.

Salary
  • $35 - $25/hour
