About the Role

The Litigation Secretary is an integral part of Latham’s Attorney Support team. This role will be responsible for directly assisting an assigned group of local attorneys in addition to providing global team support with a variety of administrative responsibilities, while working in a global team environment with a real-time work ticketing system (ServiceNow). This role will be located in our Century City office. Please note that this role may be eligible for a flexible working schedule that allows for a hybrid and in-office presence.

Responsibilities & Qualifications

Other key responsibilities include:

  • Daily time entry, expense reimbursement, calendaring and scheduling, managing/editing documents, and travel arrangements
  • Proactively learning internal systems and processes to find innovative solutions to problems and requests
  • Preserving the confidentiality of ours and our clients’ protected information
  • Generating, editing, and posting client invoices
  • Collaborate with attorneys, paralegals, and the various support departments involved in the litigation process
  • Protecting and maintaining any highly sensitive, confidential, privileged, financial, and/or proprietary information that Latham & Watkins retains 

We’d love to hear from you if you:

  • Possess experience with the different types of proceedings handled by litigators: administrative, bankruptcy, civil, due diligence advice, government investigations, internal investigations, transactional advice
  • Demonstrate experience with the anatomy of a civil litigation case (Pleadings, Discovery, Trial, Judgment and Post-Trial/Appeals); Summons and Complaint; Answer/Motion to Dismiss; Discovery (written, deposition expert); Summary Judgment Motions and related documents(e.g., Notice of Motion, Short form Motion, Memorandum in Support of Motion [the “Brief”], Separate Statement of Facts, Affidavit/Declarations with Attached Exhibits, Certificate of Service); Mediation/Trial; Judgment/Settlement; Post Trial Appeal
  • Have experience with Depositions, including: Scheduling deposition and confirming availability; Assisting with preparation of notice or subpoenas and service of the same; Booking conference rooms (main conference room for deposition, break-out conference rooms for each party) and arranging for Tech support and catering needs
  • Have experience with Trial Work, including working with the attorney in preparation for trial; Arranging for conference rooms and related logistics; Arranging for the photocopy of exhibits that will be handed out during the trial; Arranging Travel for attorneys if necessary (e.g., transportation, hotel, food vendors, supplies, technology and room space, etc.)
  • Display professional communication skills with the ability to interact effectively with attorneys, clients, vendors, and staff throughout the firm
  • Possess the initiative to work both independently and in a team environment with a customer service focus
  • Display the ability to multi-task and adapt to continuously evolving technology platforms

 

And have:

  • A Bachelor’s degree; a minimum of three (3) years of prior professional experience in a legal or professional services environment may be considered in lieu of a degree
