Job Summary
We are seeking a highly motivated and detail-oriented Legal Assistant to support the Legal Operations Manager in a fast-paced, deadline-driven environment. This role requires strong organizational skills, the ability to multitask effectively, and the initiative to work independently across a variety of legal and compliance functions.

The ideal candidate will have experience with corporate filings, contractor licensing, and administrative legal support, along with strong proficiency in Microsoft Office Suite.

 

Essential Job Responsibilities

  • Assist the Legal Operations Manager with daily legal and compliance tasks
  • Prepare, file, and track corporate filings (LLCs, corporations, annual reports, registrations, etc.)
  • Support contractor licensing applications, renewals, and compliance tracking
  • Maintain organized records of licenses, registrations, and corporate documents
  • Draft correspondence, forms, and internal documentation
  • Coordinate with state agencies, internal departments, and third-party service providers
  • Track deadlines and ensure timely submissions
  • Assist with document management and contract administration tasks
  • Provide administrative support for legal and compliance initiatives

 

Minimum Qualifications

Required: (2-4 bullets max)

  • Associate’s degree required; Bachelor’s degree OR Paralegal certificate/equivalent experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational skills and attention to detail
  • Ability to work independently and manage multiple priorities
  • Excellent written and verbal communication skills
  • Ability to thrive in a fast-paced environment

 

Preferred: (2-4 bullets max)

  • 2+ years of legal assistant, corporate compliance, or related experience preferred
  • Background in licensing and corporate filings strongly preferred
  • Experience in construction, industrial, or multi-state business environments
  • Familiarity with compliance tracking systems or contract lifecycle management (CLM) platforms
  • Strong problem-solving skills and process-oriented mindset
