Job Summary 

We are seeking a detail-oriented and highly organized Legal Assistant to join our Litigation team in our San Antonio office. The ideal candidate will possess strong time management skills, exceptional attention to detail, and a thorough understanding of legal processes. This role requires proactive support for attorneys in managing case files, coordinating schedules, and ensuring the smooth handling of legal documentation and court filings. 

 

Key Responsibilities 

Calendaring and Scheduling 

  • Manage case calendars, schedule hearings, and track critical deadlines. 
  • Coordinate meetings, depositions, and court appearances. 

Document Preparation and Filing 

  • Draft and prepare legal documents, including initial disclosures and bankruptcy proof of claims. 
  • Assist with discovery, document production, and preparation of hearing notebooks for motions for summary judgment (MSJs). 
  • Organize trial materials, including exhibits and trial notebooks. 
  • File pleadings accurately and efficiently in state and federal courts, ensuring all deadlines are met. 

Case Management 

  • Maintain and organize case files, ensuring all documents are current and easily accessible. 
  • Monitor and manage case-related deadlines. 

Trial Preparation 

  • Assist attorneys in preparing for trials, hearings, and depositions. 
  • Organize exhibits, witness lists, and trial binders. 
  • Coordinate logistics to ensure all materials are available. 

Administrative Support 

  • Handle general administrative duties, including answering phones, managing correspondence, and scheduling meetings. 
  • Open, scan, and distribute mail to the appropriate team members. 
  • Assist in processing expense reports and other administrative tasks. 

Notary Services 

  • Act as a notary to notarize documents as needed (or obtain certification upon hire). 

Communication and Coordination 

  • Serve as a liaison between attorneys, clients, courts, and opposing counsel. 
  • Ensure clear and timely communication regarding case updates, schedules, and deadlines. 
Requirements

 

Qualifications and Skills 

  • Proven experience as a Legal Assistant or in a similar role. 
  • Comprehensive knowledge of court filing systems and legal documentation requirements. 
  • Proficiency in calendaring software and legal case management tools. 
  • Strong organizational and multitasking abilities. 
  • Detail-oriented with a commitment to accuracy. 
  • Excellent communication and interpersonal skills.
