We’re currently seeking a detail-oriented and proactive Operations Administrator to support our growing firm. Job Summary:
As a vital member of the Support Operations Team, you will play a key role in ensuring seamless, efficient operations across multiple office locations. The ideal candidate brings strong organizational and troubleshooting skills, coupled with a hands-on approach to office management and IT support.
Specific Responsibilities:
- Support and administer company software systems, including resolving issues, escalating to vendors, and assisting with onboarding and training for new platforms.
- Coordinate the setup and decommissioning of office spaces, including infrastructure readiness and equipment setup.
- Order office supplies and furniture as needed. Research and recommend cost-effective products and services while managing inventory and expenses.
- Manage third-party service providers such as janitorial, maintenance, and office supply vendors. Track renewals, ensure timely service, and negotiate pricing when appropriate.
- Lead external quote and contract processes, including negotiating terms and reviewing service agreements.
- Ability to travel regularly between office locations to provide hands-on operational and IT support, including hardware installation, phone and computer setup, furniture assembly, and assisting with events.
- Facilitate meetings, take accurate notes, track follow-up items, and escalate issues as needed.
- Provide backup support to team members as needed, including greeting clients, answering phones, and assisting closing teams.
- Support asset and resource management, including IT equipment, physical security, insurance, and licensing compliance.
- Promote the use of systems and processes, re-enforcing company policies and best practices across all areas of the business.
- Track budgets on a per-project basis and assist with overall operations budgeting.
- Assist in onboarding new employees, ensuring a smooth setup and orientation process.
- Bachelor’s degree in Business Administration, Information Technology, or a related field
- 2-3 years of relevant operations or administrative experience.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Preferred: Experience with advanced Excel functions and formulas, business software configuration, and/or designing automations or workflows
- Strong multitasking ability and a fast learner with a proactive mindset
- Creative and practical problem-solving skills for both short- and long-term solutions
- Advanced IT troubleshooting skills
- Strong verbal and written communication skills and a collaborative attitude
- Ability to sit or stand for extended periods of time
- Ability to walk, bend, and lift up to 50 lbs.
- Manual dexterity to operate office equipment, including computers and phones
- Ability to work in an office environment and travel between office locations as needed
- Valid driver’s license, clean driving record, and reliable transportation for in-state travel
