Essential Duties

The Administrative Assistant provides advanced administrative and legal clerical support to the District Attorney’s Office. This role requires confidentiality, accuracy, and the ability to manage multiple priorities in a fast-paced legal environment. The position serves as a key point of contact for internal and external stakeholders, supporting legal processes and ensuring timely and accurate preparation of documents and case materials.  Additional responsibilities include but are not limited to:

  • Greet and assist individuals at the front desk or via phone, providing information or directing inquiries appropriately.
  • Prepare and track discovery materials, including photocopies, discovery letters, and media requests, utilizing legal software and maintaining detailed logs.
  • Generate invoices and statements to ensure accurate billing for discovery-related services.
  • Serve as backup for preparing general and legal correspondence, ensuring confidentiality and adherence to formatting standards.
  • Draft and track subpoenas, writs, and extradition paperwork; liaise with law enforcement for service and delivery.
  • Deliver and retrieve case materials between County departments as needed.
  • Respond to correspondence independently using standard office protocols.
  • Log and maintain case information for criminal files and proceedings.
  • Draft legal forms and support attorneys with legal document preparation.
  • Perform general filing and other clerical duties as assigned.
  • Maintain a high level of professionalism and confidentiality at all times.


Qualifications

  • High school diploma or equivalent.
  • Strong proficiency in Microsoft Office Suite and legal case management or discovery software.
  • Understanding of legal terminology, business communication, and office procedures.
  • Ability to follow written and verbal instructions with accuracy and efficiency.
  • Demonstrated professionalism, discretion, and respect for confidential information.
  • Basic understanding of bookkeeping or billing principles.
  • Excellent time management and organizational skills.

Salary
  • $16.58 - $21.45/hour
