Description

Under supervision of the Deputy Clerk of Court, this position assists the Deputy Clerk of Court with day-to-day functions by performing clerical work of a specialized nature involving responsibility for the preparation and maintenance of court records including legal documents, the court calendar, forms, and reports. Work involves public contact with attorneys and the general public for whom the local court procedures are explained and interpreted. Work is performed manually and/or through the use of automated office equipment. Supervision is a function of this position.

ESSENTIAL FUNCTIONS

  • Assist and respond to phone and face-to-face inquiries from attorneys, judicial and law enforcement officers, and the general public.
  • Enter minutes of courtroom proceedings, findings, orders, and decisions into court database.
  • Prepare, review, and process legal documents, correspondence, motions, and orders.
  • Supervise and delegate tasks to the Court Office Assistant
  • Administer oaths to witnesses.
  • Complete court-related forms such as petitions and warrants.
  • Document name changes, licenses, adoption records, and more.
  • Collect fines, fees, and bond payments.
  • Reconcile daily receipts.
  • Prepare the dockets or lists of scheduled cases. Schedule/reschedule court proceedings.
  • File documents physically or electronically.
  • Attend training sessions, meetings, seminars, workshops, etc. to enhance job knowledge and skills.

ADDITIONAL JOB FUNCTIONS

  • Uses a variety of computer software programs such as Microsoft Word, Excel, Outlook, Courtware, and Zuercher.  
  • Other duties as assigned.
Qualifications
  • High school diploma or equivalent required; Associate degree in paralegal studies or related field preferred.
  • GCIC Operator Certification required to be obtained within 6 months on the job.
  • Skilled in tracking and handling cash and evaluating cash handling procedures.
  • Knowledge of legal terminology and application.
  • Knowledge of procedures and policies of court proceedings.
  • Cooperates with others to accomplish common goals; works with employees within and across departments to achieve shared goals; treats others with dignity and respect and maintains a friendly demeanor; values the contributions of others.
  • Works cooperatively with others, inside and outside the organization, to accomplish objectives to build and maintain mutually beneficial partnerships, leverage information, and achieve results.
